What are the responsibilities and job description for the The Melrose Georgetown Hotel Group Rooms Coordinator position at Remington Hotels?
What you will be doing
- Coordinate a calendar workflow of events on all groups booked in the hotel.
- Review contracts attached in system, verify all group billing is accurate, room type appropriately blocked, with block vs net block accurate.
- Build rate codes in SMS Host and build Weblinks to be sent.
- Ensure that groups are modified to reflect availability and netted rooms.
- Work with sales managers and clients to add rooms, if necessary, and offer rates if different than cut-off rates.
- Send a "cutoff date reminder" with block pick up to date and potential attrition charges pending as per contract.
- Process all rooming lists, verify billing arrangements, and send rooming list to client for review.
- Follow up on rooming list changes, additions, deletions and provide sales manager and client with updated rooming list.
- Work in tandem with Catering Sales Coordinator to build/prepare resume(s) for the weekly staff meeting
- Meet with clients on sites, when and if necessary, with or without sales manager
- Attend weekly meetings with sales staff
- Work in tandem to control hotel room inventory following direction from Sales Manager, One Touch Manager, and Front Office Manager
- Answer phone calls and respond to emails about client and group guest inquiries
- Cross Train with Front Office systems for career development and/ or assist with large
group check-ins. - Complete all tasks as assigned by the Department Head, and General Manager.
- Pay rate: $22.00 hourly USD
Qualifications:
- Physical Requirements (In-Office Role)
- Ability to work in a standard office environment.
- Prolonged periods of sitting at a desk and working on a computer. (6-8 hours a day)
- Occasional standing and walking throughout the workday.
- Frequent fine motor skills, use of hands and fingers for keyboarding/typing, utilizing a mouse or trackpad, writing, and operating office equipment.
- Ability to communicate effectively verbally and in writing.
- Occasionally required to stand, walk, bend, reach, or carry items.
- Ability to lift and/or move 10–25 pounds as needed (e.g., files, office supplies).
- Visual ability to read from a computer screen and printed materials including close visual focus for extended periods and color differentiation (for certain roles).
- Ability to hear and participate in conversations and meetings, use phone and/or headset
