JOB SUMMARY: The Office Administrator is responsible for ensuring the efficient day-to-day operation of the office by providing administrative support, exceptional customer service, and organizational assistance across departments. This role serves as the first point of contact for visitors and callers while supporting leadership, maintaining office systems, coordinating special projects and events, and helping create a welcoming and professional work environment.
RESPONSIBILITIES:
- Answer and direct phone calls, emails, and visitors in a professional and friendly manner.
- Maintain a clean, organized, and welcoming office environment.
- Order, organize, and maintain office supplies and equipment.
- Coordinate office maintenance, repairs, and vendor services.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain accurate electronic and paper filing systems.
- Maintain participant spending accounts and office cash tills by accurately recording transactions, reconciling balances, and ensuring compliance with company procedures.
- Schedule meetings, appointments, conference rooms, and other office resources.
- Perform data entry and maintain databases with a high level of accuracy.
- Organize and maintain confidential files and records.
- Prepare meeting agendas and record meeting minutes when requested.
- Serve as the first point of contact for clients, vendors, volunteers, and visitors.
- Respond to inquiries and resolve routine questions in a timely and professional manner.
- Deliver a positive, welcoming, and customer-focused experience.
- Assist in maintaining office equipment, including printers, copiers, telephones, and other office technology.
- Troubleshoot basic technology issues or coordinate support with the IT provider.
- Maintain shared calendars, office databases, and Microsoft Office systems.
- Create flyers, presentations, forms, and other visual communications using Canva and Microsoft Office applications.

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Microsoft Teams, and Canva.

Pay: $17.00 - $18.00 per hour
