Position Summary

We are seeking a dependable and detail-oriented Office Administrator to help manage day-to-day office operations and provide billing and coding support for our DME business. This is a balanced role: roughly half of the work is general administrative and front-office support, and half is billing and coding support tied to equipment orders and insurance claims. Prior DME or medical billing experience is a plus, but not required — we provide structured training on billing and coding so you become proficient in our specific product categories, payer requirements, and workflows. The ideal candidate is organized, discreet with sensitive information, comfortable with computers, and enjoys being the reliable hub that keeps an office moving.

Key Responsibilities — Billing & Coding Support

You will support the billing team and, with training, take ownership of routine billing and coding tasks:

  • Claims preparation: Assist in preparing, submitting, and tracking insurance claims for DME orders to Medicare, Medicaid, and commercial payers.
  • HCPCS/coding support: Apply and verify HCPCS Level II codes and modifiers for durable medical equipment, with training provided on our specific product categories.
  • Documentation & authorizations: Collect and verify required documentation (physician orders, prescriptions, prior authorizations, proof of delivery, and Certificates of Medical Necessity) to ensure claims are complete and compliant.
  • Eligibility & benefits: Verify patient insurance eligibility and benefits, and help obtain prior authorizations before equipment is dispensed.
  • Payment posting & follow-up: Post payments, review remittances, identify denials or rejections, and assist with claim corrections, appeals, and resubmissions.
  • Patient billing: Generate patient statements, answer billing questions, and set up or track payment arrangements in a courteous, HIPAA-compliant manner.
  • Records & compliance: Maintain accurate billing records and support adherence to Medicare/Medicaid, payer, and HIPAA requirements.

Key Responsibilities — Office Operations & Administrative Support

  • Front office & reception: Answer and route phone calls, greet visitors, and serve as a friendly, professional first point of contact for patients, referral sources, and vendors.
  • Order coordination: Enter and track equipment orders, coordinate deliveries and pickups, and follow up with patients, clinicians, and delivery staff to keep orders on schedule.
  • Correspondence & data entry: Manage email, faxes, and mail; accurately enter patient, order, and insurance information into the billing/EMR system.
  • Scheduling: Maintain calendars, coordinate appointments and deliveries, and help schedule staff and equipment servicing as needed.
  • Records management: Organize and maintain physical and electronic files, ensuring patient and business records are accurate, secure, and easy to retrieve.
  • Supplies & inventory support: Monitor office supplies, place orders, and assist with tracking equipment inventory and paperwork.
  • Vendor & facilities coordination: Liaise with vendors and service providers, and help keep the office space organized and running smoothly.
  • Team support: Provide general administrative backup to management and other departments, and take on additional office tasks as the business needs evolve.

Qualifications

Required

  • High school diploma or equivalent.
  • 1–3 years of office administrative, front-desk, customer service, or clerical experience (entry-level candidates with strong administrative aptitude will be considered).
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and comfort learning new software.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
  • Professional, courteous communication skills (phone, email, and in person).
  • Ability to handle confidential patient and business information with discretion and integrity.

Preferred (not required — training provided)

  • Experience in a medical office, DME supplier, or healthcare billing environment.
  • Familiarity with medical billing, insurance claims, or HCPCS/CPT/ICD-10 coding.
  • Knowledge of Medicare, Medicaid, and commercial payer requirements.
  • Experience with billing software, EMR/EHR systems, or clearinghouses.
  • Understanding of HIPAA and healthcare compliance basics.

Compensation & Benefits

REM Technologies offers a competitive compensation and benefits package commensurate with an entry-to-moderate experience office administrative role on Long Island:

  • Pay: $45,000 – $56,000 per year, based on experience and qualifications.

Final compensation will be determined based on the candidate’s experience, skills, and qualifications.

Work Environment & Physical Requirements

  • On-site position based at our Patchogue, NY office; standard business hours, Monday through Friday.
  • Primarily an office setting using standard office equipment (computer, phone, printer/fax).
  • Occasional light lifting or handling of paperwork, supplies, or small equipment items may be required.
