Responsibilities
- Help manage office operations, greeting visitors and clients with professionalism and warmth
- Handle multi-line phone systems, directing calls accurately and courteously while providing excellent customer service
- Maintain organized filing systems, both digital and paper-based, ensuring quick retrieval of documents
- Perform data entry tasks with precision using spreadsheets, databases, and productivity software such as Microsoft Office and Google Workspace
- Support bookkeeping activities, including invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar tools
- Assist with office management duties such as ordering supplies, maintaining equipment, and overseeing general administrative functions
- Proofread correspondence, reports, and other documents to ensure accuracy and professionalism
- Provide exceptional customer support by addressing inquiries promptly via phone or email while maintaining excellent phone etiquette
- Support medical or dental reception duties if applicable, including appointment scheduling and patient record management
Skills
- Knowledge of multi-line phone systems and phone etiquette to ensure professional communication
- Familiarity with bookkeeping software like QuickBooks for financial record keeping
- Previous experience as a receptionist or administrative assistant in medical or dental offices is advantageous
