Job Summary
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily administrative operations while managing financial record-keeping. This role is critical to ensuring smooth office functionality, accurate financial reporting, and strong internal support across departments. The ideal candidate will have experience in office management, bookkeeping, and human resources, along with strong communication and leadership skills.
Key Responsibilities
- Manage daily office operations, including front desk coverage, multi-line phone systems, scheduling, and calendar coordination.
- Supervise and support administrative staff, providing guidance, training, and performance support.
- Coordinate vendor relationships, office supplies, services, and contracts to ensure operational efficiency and cost control.
- Perform bookkeeping duties using QuickBooks or similar accounting software, including invoicing, expense tracking, bank reconciliations, and basic financial reporting.
- Maintain organized and accurate records through filing systems, data entry, and document management.
- Support human resources functions such as onboarding, payroll coordination, employee records, and policy compliance.
- Assist with planning company meetings, internal events, or community outreach activities as needed.
Qualifications
- Proven experience in office management, administration, or a similar role.
- Prior supervisory experience with the ability to lead and support a team.
- Strong proficiency in QuickBooks or comparable bookkeeping software is required.
- Excellent communication skills, including professional phone etiquette and customer service.
- Working knowledge of HR practices, payroll processes, budgeting, and vendor management.
- Strong organizational skills with the ability to multitask and maintain attention to detail.
