Job Summary:
Under direction of the Sr. Procurement Director, the Office Administrator performs a variety of office-oriented tasks to ensure effective administrative operations, office operations and staff support with a focus on customer service and general office skills. Office Administrators are responsible for ensuring smooth operations within the organization while adhering to the organization’s values and principles. Administrators ensure the maintenance of a clean working environment that yields productivity and furnishes essential office supplies. Administrators perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Administrators should make recommendations to management regarding improved organizational efficiencies and safety of the office environment.

Job Function:
  • Prepare and maintain office daily for operational functions including preparation of kitchens, conference rooms and general office area including, but not limited to, cleaning of counters, cabinets, microwaves, refrigerators, toasters, ice machine, coffee makers and other equipment
  • Perform office receptionist duties including managing incoming calls and receiving and announcing visitors in a prompt, professional, helpful manner
  • Process incoming and outgoing mail and packages, including FedEx, UPS and Courier service and ensure all required equipment is operational in accordance with company processes
  • Maintain approved office policies issued from Corporate office and manage administrative documents on SharePoint
  • Maintain the office keys, and badges, while keeping accurate documentation
  • Coordinate new hire set up, keep proper documentation of assignment and conduct new hire orientation on the employee’s first day
  • Coordinate with Iron Mountain for pick up and receipt of records
  • Provide timely professional office administrative support as requested
  • Perform meeting scheduling, prepare meeting materials, and schedule travel/meetings as requested
  • Order refreshments and set up meeting rooms as requested
  • Maintain stock and order office supplies, stationary, business cards, first aid supplies and kitchen supplies in accordance with company policies
  • Maintain and operate all standard office equipment as needed
  • Interact professionally with building management regarding maintenance, safety, janitorial and lease compliance
  • Ensure all insurance requirements are requested from carriers and kept on file in SharePoint
  • Identify repairs needed for office furnishings and office area and coordinate to completion
  • Coordinate office events with appropriate personnel
  • Review for accuracy of all general office invoices and submit to Manager for approval

SUPPLEMENTAL DUTIES & RESPONSIBILITIES
  • Maintain and update Office Organization Charts, phone list and seating charts
  • Pursues training and development opportunities; Strives to continuously build knowledge and skills
  • Assist other departments in proper filing and disposition of documents
  • Other duties as requested
Required Skills:
  • High School Diploma/GED Required
  • 1 years’ Administrative support or Receptionist experience required
  • Must be self-motivated and able to work independently, with minimal supervision and as part of a team
  • Detail oriented with excellent interpersonal communication skills
  • Excellent customer service skills
  • Must exhibit competent computer skills (Microsoft Office, etc.)
  • Knowledge of operation of standard office equipment
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management
  • Must exhibit high level of professionalism and ability to maintain confidentiality
  • Must be highly organized and precise in work detail with the ability to prioritize and problem solve
  • Must be able to comprehend work demands and communicate clearly, verbal and written
  • Must be able to follow instructions accurately
  • Maintain a professional appearance
Compensation Range: The anticipated compensation for this position is USD $23.41/Hr. - USD $25.53/Hr. depending on experience, qualifications, and location.
