Position Summary:
The Coordinator, Sample & Prototype supports the end-to-end coordination of samples, prototypes, and sell-in materials across all active product lines. Working closely with Product Development, Engineering, Sourcing, Sales, Brand, and licensors, this role ensures physical assets are tracked, submitted, and delivered on time so that teams are never scrambling before a critical meeting or deadline. The ideal candidate is detail-oriented, organized, and comfortable managing multiple moving pieces across a fast-paced, cross-functional environment.
Responsibilities:
Sample & Prototype Coordination
- Maintain a master sample plan across all active projects, tracking what is needed, when, and for which meetings.
- Coordinate directly with Product Development, Engineering, Sourcing, and factories to ensure prototypes, samples, packaging comps, and display models are delivered on time.
- Source alternative prototype formats, including 3D printed models, foam core builds, renders, and mock-ups, when production samples are not yet available.
- Maintain a physical inventory library of all samples, comps, and sell-in materials, keeping assets organized, labeled, and accessible.
Licensor Sample Coordination
- Coordinate the submission and tracking of samples, prototypes, and packaging comps through licensor approval processes.
- Ensure assets are submitted on time, route feedback to the appropriate internal teams, and confirm approvals are secured ahead of sell-in deadlines and marketing activation windows.
Cross-Functional Coordination
- Collaborate closely with the Sales team on sample coordination, tracking their meeting calendar and ensuring they have the right materials in hand without having to chase them down.
- Work with Brand, Product Development, Engineering, and Sourcing to anticipate sample needs before they become urgent.
- Support a clear intake process that separates planned launch samples from last-minute requests so the team can prioritize effectively.
- Contribute to a planning-forward culture by flagging gaps early and keeping all stakeholders informed on sample status.
This Could Be You If:
- 1–3 years of experience in sample coordination, product operations, project coordination, or a related role within a consumer products, toy, or licensed goods environment.
- Strong organizational skills and attention to detail, with the ability to manage multiple deadlines and moving parts simultaneously.
- Experience with or exposure to licensor approval workflows or factory coordination preferred.
- Clear and proactive communicator, comfortable working across Sales, Brand, Product Development, Engineering, and Sourcing teams.
- Proficient in Excel or Google Sheets for tracking; familiarity with project management tools such as Asana, Monday.com, or Smartsheet is a plus.

The Legal bits
The salary range for this role is $60,000.00 - 69,000.00 annually, plus eligibility for an annual target bonus, prorated from the start date. This is the lowest to highest salary we in good faith, believe we would pay for this role at the time of this posting. An employee’s pay position within the wage range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, sales or revenue-based metrics, and business or organizational needs. This compensation range may also be modified in the future.
