Key Responsibilities
- Records Retention: Maintain and archive digital and physical financial files for all organizational programs and events to ensure quick retrieval.
- Procurement Support: Verify submitted supply requests for accuracy and product links, place orders, and handle the physical receipt, inspection, and distribution of goods.
- Cash & Deposits: Safely process incoming/outgoing cash transactions, compile required supporting paperwork, and execute timely bank deposits.
- Inventory Tracking: Upkeep comprehensive logs tracking organizational assets and distributed staff supplies.
- Timecard Auditing: Serve as the primary auditor of employee time and attendance data within ADP (verifying hours and leave tracking).
- Accounts Payable & Receivable: Processing and verifying vendor invoices, issuing client bills, and tracking incoming and outgoing payments.
- Reconciliation: Matching internal financial records with bank statements and credit card reports to identify and resolve discrepancies.
- Data Entry: Accurately logging financial transactions into software like QuickBooks or Oracle NetSuite.
- Payroll & Expenses: Processing timecards, managing employee expense reports, and preparing payroll data.
- Financial Reporting: Compiling data used by senior accountants to build balance sheets, cash flow statements, and budgets.
- Audit & Tax Prep: Organizing receipts and gathering documentation needed for internal/external audits and tax filings.
Qualifications
- Education: Associate of Arts (AA) degree in Accounting, Finance, or a closely related field required.
- Prior experience in financial record-keeping, clerical duties, or basic bookkeeping is a plus.
- Strong data entry skills with an uncompromising eye for detail and accuracy.
- Trusted ability to handle physical cash transactions and manage physical inventory logs.
