The Optometric Liaison is responsible for the day-to-day operational aspects of the Regional Eye Co-Management Program and Optometrist patient referrals. This includes managing and answering optometrist calls, reviewing, and completing referral and co-management patient documents, material and educational resource development, and program maintenance. Additionally, the Optometric Liaison ensures that patients experience a positive and quality co-management process.
Responsibilities and Essential Duties:
- Works closely with all physicians participating in co-management functions with local optometrists. Uses participating physicians as mentors in the development and the execution of the Regional Eye Co-Management Program. Implements physician feedback in the modification of program procedures and policies. Communicates all significant changes implemented back to participating optometrists.
- Maintains current patient educational documents based on current Regional Eye and optometrist procedures and practices. Ensures that co-managing optometrists have a supply of patient education packets available to them at all times.
- Receives all intake calls from co-managing and referral optometrists and processes requests for referral appointments. Referral appointments are expected to take place within two to three weeks of the referral date.
- Maintains positive working relationships with all Regional Eye surgical counselors in order to assure co-management is executed promptly and accurately. This is achieved through regular communications with the team, auditing and reviewing co-management patient documents prior and post-surgery, as well as educating surgical counselors on updated policies and procedures. Providing constructive feedback to surgical counselors when inaccurate or incomplete patient education or documentation has taken place.
- Prior to surgery day, provides a list to the surgeon that identifies which of his / her patients are co-managed along with the date of the Regional Eye post-operative appointment as well as the date of the first appointment with optometrist.
- Provides Regional Eye post-operative report to the referring optometrist at the conclusion of surgery. Notifies surgeon, through the medical record, of the receipt of the optometrist post-operative report.
- Communicates regularly with the Regional Eye medical billing department in order to discuss proper insurance billing practices of co-managed patients.
- Serves as the point-of-contact for all co-management related questions from Regional Eye team members. Answers questions or addresses concerns promptly and communicates answers and resolutions to impacted parties.
- Ensures that all patient medical records, documents and consent forms have been collected, completed, and scanned into the electronic medical record.
- Performs scheduling and surgical counseling documentation audits in order to assure quality and compliant patient care. If inaccuracies are discovered, works collaboratively with the team members involved in order to seek resolution. Verifies that measures have been taken in order to resolve the inaccuracies.
- Tracks and maintains accurate and current referring physician credentialing files. Requests copies of and verifies active liability insurance coverage, license to practice, Board certification, etc.
- Performs other duties as assigned.

- While performing the duties, the employee is regularly required to sit, talk and/or hear. The employee is frequently required to use hands to finger, handle or feel. The employee is required to reach with hand and arms. Occasionally required to climb, stoop, kneel, crouch and/or crawl in confined spaces. Must occasionally lift and/or move up to 25 pounds.

- Must be willing to travel to various regions in order to establish and maintain professional working relationships with referring optometrists.
Education and Experience:
- High school diploma or GED required; some college preferred.
- At least one-year of experience in a medical practice; refractive, surgical, aesthetic, or ophthalmology specialties preferred.
- Knowledge of surgery scheduling practices and familiarity of ophthalmic coding.
