POSITION TITLE: MEDICAL RECORDS SPECIALIST
General Statement Of Responsibilities
The incumbent reports to the Compliance Manager and performs duties by proceeding alone under standard practices, researching and troubleshooting needs, and complex situations as appropriate. This position will support the Compliance department with responsibility for records management, including record retention and destruction. The Medical Records Specialist holds primarily responsibility for processing all internal and external requests for records in a timely manner. The Medical Records Specialist will triage and process requests according to priority. The incumbent will show high levels of confidentiality when dealing with consumer protected health information and other Compliance Department activities and documents. In carrying out position duties, he/she performs in accordance with applicable professional ethics and established Region Ten policies, Federal, State and local licensing, accrediting bodies, and other requirements especially as regards confidentiality and customer satisfaction.
Qualifications
EDUCATION:
Knowledge: Understanding of mental health service delivery and CSB processes, HIPAA, 42 CFR Part, understanding of electronic health records (EHR/EMR) systems, Familiarity with behavioral health documentation requirements, Understanding of records retention policies and legal compliance requirements, Knowledge of confidentiality and patient privacy best practices
Skills: Accurate data entry and record maintenance, Document management skills, including scanning, indexing, and organizing records, Ability to audit client charts for completeness and compliance, Proficiency in EHR systems and Microsoft Office (Word, Excel, Outlook), Strong organizational and time-management skills, Effective communication skills (interacting with clinical staff, patients, auditors), Problem-solving skills (for resolving discrepancies in records), Ability to handle sensitive information professionally and discreetly
Abilities: Ability to maintain strict confidentiality in high-sensitivity environments, Ability to work independently and manage multiple priorities, Ability to interpret policies and apply them to real-world scenarios, Ability to adapt to changing regulations and systems, Ability to work under pressure and meet deadlines (e.g., audits, record requests), Ability to collaborate with interdisciplinary teams (providers, case managers, admin staff), Ability to identify errors or compliance gaps in documentation
Hourly Salary Range
GRADE 9: $21.02 -$31.53 per hour
