Job Summary. This is an hourly full-time position, working the hours of 8am to 5pm includes an hour
unpaid lunch, on-site in our beautiful office along the riverfront in downtown Rockford, Illinois.

Key Responsibilities:
1. Receptionist Duties:
o Answers the door and greets visitors with a positive and professional demeanor.
o Manages the incoming calls and respond to inquiries in a timely manner.
o Maintains the front desk area, ensuring it is clean, organized, and welcoming.
2. Administrative Support:
o Handle office correspondence, including email, mail, and other communications.
o Perform general office duties such as filing, photocopying, scanning, and data entry.
o Assist with preparing documents, reports, presentations, and other materials as needed.
o Maintain office supplies inventory and coordinates with Supervisor.
o Manage office databases and ensure proper filing systems are maintained.
o Maintains a professional office setting through cleanliness, organization, and demeanor.
o Works collaboratively with others to ensure the success and achievement by colleagues in the
fulfillment of agency priorities.
o Assist in organizing meetings, conferences, and events.
Supervision Exercised. None.
Education and Experience. To perform the job successfully, an individual should demonstrate the
following behaviors:
• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
• 1-2 years of experience in a receptionist, administrative, or customer service role preferred.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
• Strong organizational skills with the ability to multitask and prioritize effectively.
• Positive attitude and a team player.
• Uncompromising accuracy, attention to detail, and interest in continuous improvement.
• Ethical conduct and confidentiality.
• Initiative to solve problems, develop plans, and follow-through.
• Maintain reasonable and predictable attendance.

Licenses & Certifications.
• Completion of Open Meetings Act and Freedom of Information Act training required.
Working Conditions and Special Demands:
Work is performed primarily in an office setting, sitting at a desk and operating a personal
computer. Work may require attending meetings that may involve travel throughout the region. The
physical demands described are representative of those required to perform successfully the
