POSITION SUMMARY
We are seeking an Accounting Specialist to join our finance team. Reporting to the Controller, you will support accounting operations across our network by managing accounts payable transactions, maintaining financial records, and ensuring compliance with organizational policies for ReGeneration Schools and all nine campuses.
KEY RESPONSIBILITIES
Accounts Payable & Vendor Management
Review vendor invoices for accuracy, validity, proper documentation, and approvals
Allocate invoices across campuses to ensure accurate and compliant cost distribution.
Process vendor transactions using QuickBooks and Sage Intacct on an accrual basis
Upload invoices to AvidXchange per treasury and authorizer requirements
Maintain vendor records, including W-9 forms
Assist with 1099-NEC preparation and filing
Payment Processing
Execute vendor payments via ACH, Bill Pay, or check with appropriate approvals
Record and reconcile credit card transactions with proper documentation
Process bi-weekly payroll entries into the accounting system
Manage bi-weekly pension payments for Illinois and Ohio in compliance with state regulations
Process monthly insurance payments (health, dental, vision, disability, workers' compensation)
Financial Recording & Reconciliation
Record bank deposits & transfers
Assist with bank reconciliations
Generate monthly campus-level expense detail reports
Respond promptly to internal and external documentation requests
Provide backup support to the Staff Accountant as needed
QUALIFICATIONS
Required:
Minimum 2 years of bookkeeping or accounting experience
Proficiency in accounting software (QuickBooks Online, Sage Intacct preferred)
Strong knowledge of Microsoft Excel
Exceptional attention to detail and organizational skills
Excellent time management with proven ability to meet deadlines
Strong interpersonal and communication skills
Commitment to maintaining confidentiality of financial information
Preferred:
Experience with payment processing platforms such as Bills.com, Winvoice, or AvidXchange
Background managing multiple entities with intercompany transactions
Non-profit or education sector experience
