Key Responsibilities

• Front Office Operations
• Manage patient scheduling, confirmations, and recall systems
• Ensure a seamless patient experience from check-in to check-out
• Treatment Coordination & Case Acceptance
• Present treatment plans clearly and confidently to patients
• Educate patients on procedures, insurance, and financing options
• Drive treatment acceptance and support production goals
• Insurance & Billing
• Verify insurance, submit claims, and follow up on outstanding payments
• Handle patient billing, collections, and payment plans
• Team Leadership & Delegation
• Effectively delegate tasks to front desk staff and dental assistants to maintain efficient daily operations
• Assign responsibilities based on team strengths and workflow needs
• Ensure accountability and follow-through across all team members
• Act as the central point of coordination between clinical and administrative staff
• Workflow Management
• Coordinate staff schedules and daily workflow
• Support communication between clinical and administrative teams
• Maintain efficiency across all areas of the office
• Financial & Administrative Oversight
• Monitor daily production, collections, and KPIs
• Assist with reporting and identifying areas for growth
• Manage office supplies and vendor relationships
• Process Improvement
• Identify inefficiencies and implement better systems
• Help standardize workflows and improve patient experience
• Hiring & Training Support
• Assist with onboarding and training new team members
• Reinforce office protocols and expectations

Qualifications
• High school diploma required; college coursework preferred
• 2 years of dental office experience strongly preferred (front desk, treatment coordinator, or office manager)
• Strong understanding of dental insurance, billing, and treatment planning
• Experience with dental software (Open Dental preferred, but not required)
• Proficiency in Microsoft Excel or Google Sheets
• Excellent communication and interpersonal skills
• Strong organizational skills and attention to detail
• Ability to multitask and stay composed under pressure
• Self-starter mindset with strong problem-solving ability
