Classification
This position is classified as Category I - Group 1 Secretary in accordance with the Reeths-Puffer Office Personnel and Paraprofessional Association (OPPA) Master Agreement (2025–2028). All duties, expectations, compensation, and working conditions are governed by the terms of that Agreement.

Position Summary
The Administrative Assistant to the Elementary School Principal provides high-level administrative and organizational support to ensure the efficient operation of the school office. This position serves as a primary point of contact for students, parents, staff, and community members, and requires the exercise of discretion, independent judgment, and strict adherence to confidentiality and district policies.
All duties are performed in alignment with the OPPA Master Agreement and applicable district policies, as well as federal and state laws.
Key Responsibilities
- Provide administrative support to the Principal, including calendar management, correspondence, and document preparation.
- Manage building-level financial processes, including budget tracking, classroom accounts, deposits, and reconciliation of expenditures.
- Maintain confidential student and personnel records in compliance with FERPA and district policy.
- Assist with student enrollment, attendance tracking, record keeping, and student transfers.
- Maintain, process, and verify student attendance records; generate required communications (e.g., attendance letters).
- Respond to phone calls, emails, and in-person inquiries in a professional and customer-focused manner.
- Coordinate school communications, including newsletters, announcements, and parent notifications.
- Assist in organizing school events, staff meetings, conferences, and other school functions.
- Maintain office supplies and equipment; submit purchase requests as needed.
- Process and distribute incoming and outgoing mail.
- Support substitute teacher coordination and daily staffing needs, as assigned.
- Submit instructional assistants’ timesheets to the payroll department in a timely manner.
- Support building safety procedures and emergency protocols.
- Distribute student and/or class information, records, and data to staff as appropriate.
- Ensure compliance with district policies and applicable state reporting requirements.
- Perform other duties as assigned by the Principal, consistent with the scope of the position and the OPPA Master Agreement.
Student Health & Safety Responsibilities
- May assist with student health-related needs, including first aid and medication administration, only as assigned and in accordance with District policies, required training, applicable law, and the OPPA Master Agreement.
- Medication administration shall occur only when proper authorization forms are on file and required procedures are followed.
- Maintain required certifications (e.g., First Aid/CPR/AED) if assigned to perform such duties.
- May serve on the building’s emergency response or cardiac response team, if designated.
Qualifications
- High school diploma or GED required.
- Prior administrative or secretarial experience preferred.
- Proficiency in Microsoft Office, Google Workspace, and student information systems.
- Strong organizational and communication skills.
- Ability to maintain confidentiality and work effectively with stakeholders.
