Position Summary:
Reef is seeking a highly organized and proactive Administrative Assistant to support daily operations and ensure efficient workflow across the Reef Enterprises team. This role is responsible for managing schedules, coordinating communications, and handling a variety of administrative tasks. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities and initiatives in a fast-paced environment.
Responsibilities:
- Provide comprehensive administrative support to Reef Enterprises leadership and team members, including calendar management, meeting coordination, and scheduling
- Prepare, edit, and manage correspondence, reports, presentations, and other business documentation
- Serve as a central point of contact for internal and external communications, ensuring timely and professional responses
- Maintain organized digital and physical filing systems, records, and databases with a high level of accuracy and attention to detail
- Coordinate travel arrangements, team events, and logistical planning across departments
- Support data entry, reporting, and basic analysis to inform operational and financial decision-making
- Track and monitor operating expenses against approved budgets across departments, programs, and property allocations
- Ensure all expenditures are accurately coded to the appropriate budget line, cost center, and entity
- Analyze budget-versus-actual performance and proactively identify and communicate variances or discrepancies to leadership
- Support expense authorization workflows, including documentation, approvals, and tracking of exceptions
- Partner with fulfillment and investor teams to track and reconcile member credits, hospitality charges, and cross-property transactions in coordination with property accounting teams
- Act as a liaison between Reef Enterprises and internal/property-level accountants and controllers to ensure accurate financial reporting and alignment
- Resolve coding discrepancies, misclassified expenses, and intercompany timing differences in collaboration with finance partners
- Review, code, and route invoices through appropriate approval workflows, ensuring completeness and compliance prior to payment processing
- Assist with vendor setup and support accounts payable processes, including payment coordination
- Identify and recommend improvements to accounting controls, expense allocation accuracy, and financial close processes as the organization scales
Qualifications:
- High school diploma required; Bachelors degree preferred
- Previous experience working with marketing and/or sales teams preferred
- Proficient use of technology, especially Microsoft Office and Google Suite
- 3 years of previous administrative assistant/receptionist experience
- Great organizational skills
- Excellent interpersonal communication skills, both written and verbal, with the ability to problem solve
