Position Overview
We are seeking a detail-oriented Procurement Specialist to join our managed services IT team. This role is focused on internal procurement operations, including quote creation, order processing, and coordination with internal teams. The ideal candidate will poses strong organizational and communication skills.
Key Responsibilities
Quote & Order Processing
- Generate accurate proposals using company quoting tools based on internal team input
- Convert approved proposals into purchase orders, manage subscription adjustments, and convert orders to project with appropriate team handoff
- Follow up on pending proposals, track order status on approved proposals, and oversee the procurement lifecycle from request to project handoff
Internal Coordination
- Collaborate with vCIO, Managed Services, and Professional Services teams on customer requirements, subscription modifications, and project handoffs
- Serve as the central point of contact for order-related communications, coordinating status updates, changes, delivery timelines, and meetings for complex solutions
Procurement Process Support
- Communicate with vendors, distributors, and customers to relay updates, confirm order details, and coordinate logistics
- Maintain organized records of purchase orders, delivery schedules, and warranty documentation
- Monitor inventory levels and coordinate internal requests for equipment or services
Administrative & Financial Assistance
- Support invoice processing and subscription billing adjustments
- Maintain accurate procurement-related financial records
- Assist with month-end reporting and invoicing
Inventory & Logistics Coordination
- Monitor inventory levels and coordinate special orders
- Monitor shipping, receiving, and asset tracking for customer equipment
- Ensure proper documentation for warranties and support purposes
- Coordinate equipment delivery schedules, providing updates to customers and coordinating with internal project team members
Required Qualifications
- Associate degree in business, IT, or related field, or equivalent work experience
- 2 years of experience in procurement, purchasing, or operations support
- Familiarity with quoting tools, CRM systems, and basic accounting principles
- Strong attention to detail and organizational skills
- Ability to work collaboratively across teams in a fast-paced environment
Preferred Qualifications
- Experience in IT or managed services environments
- Understanding of subscription-based billing and asset tracking
- Exposure to ERP systems or procurement platforms
