PURPOSE OF POSITION: Provides administrative and systems support for facilities and fleet operations. Coordinates documentation, procurement tracking, compliance records, and operational systems.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; however, other duties may be assigned:
- Administrative Coordination:
- Coordinates and maintains documentation for facilities and transportation records/activities.
- Maintains records for facility assessments, inspections, and compliance documentation.
- Maintains electronic building files and drawings.
- Coordinates scheduling of bi-annual facility assessments and maintains related records.
- Conducts Motor Vehicle Records (MVR) checks as needed for new hires and ongoing updates.
- Provides administrative support to the Director, Facilities Manager, and Transportation Manager.
- Assists with development and updates to the statewide needs list (5-year plan).
- Fleet Management Support:
- Tracks vehicle maintenance schedules, service records, and fleet inventory master list.
- Assists with fuel card assignments & pins, registration renewals, and vehicle repair approvals.
- Monitors fleet management software and maintains transportation documentation.
- Assists with the evaluation of bus routes and transportation logistics.
- Procurement Coordination:
- Assists with preparation of Requests for Proposals (RFPs), vendor communication, and procurement documentation.
- Tracks equipment purchases and ensures documentation aligns with funding source requirements.
- Submit payments for processing.
- Systems Administration:
- Maintains facilities and fleet management database and reporting systems (e.g., Brightly, Holman, SharePoint).
- Uploads and maintains documentation in required systems such as Head Start Enterprise System (HSES).
- Fire and Life Safety Systems:
- Assists with vendor service contracts for fire and life safety systems to ensure consistency.
- Reviews insurance inspection reports to identify fire and life safety risks and system deficiencies and coordinates corrective actions to ensure compliance across all locations.
- Training & Communication:
- Coordinates training documentation for facilities and transportation staff.
- Communicates with area staff regarding maintenance requests and project updates.
EDUCATION AND EXPERIENCE:
- High School Diploma or General Education Degree (GED) required and 3-5 years of proven related experience.
OTHER REQUIREMENTS:
- Flexible availability is required to work outside standard business hours, such as occasional overnight travel, varying daytime shifts during the week, and some weekends.
- Must be at least 21 years of age, possess or be able to obtain a Florida driver's license, and have a driving record that meets RCMA’s insurance carrier requirements.
- Must be willing to travel locally and statewide for work-related responsibilities, including attending trainings and other job-related activities, as needed.
- Ability to work with degreed and non-degreed professional staff and families.
- Bilingual in English and Spanish.
PREFERRED QUALIFICATIONS:
- Familiarity with Adobe and Microsoft Publisher.
- Experience in educational and nonprofit settings, including Head Start.
- Familiarity with the local community and relevant cultural or occupational background when applicable.
