Responsibilities
- Manage front desk duties, including greeting visitors, answering phone calls, and directing calls with professional phone etiquette
- Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
- Assist with project estimation by gathering data, preparing quotes, and collaborating with team members to ensure accuracy
- Provide customer support by responding promptly to inquiries, offering information about services, and maintaining positive client relationships
- Handle clerical duties including proofreading documents, managing invoices, and processing billing using QuickBooks or bookkeeping software
- Support administrative functions such as proofreading correspondence, managing office supplies inventory, and ensuring efficient workflow
Requirements
- Experience in the construction industry along with in an office environment preferably with strong clerical and administrative skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Experience with Blue Beam and other construction estimating tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills with a professional phone manner
- Previous experience as a receptionist or personal assistant is advantageous
- Ability to perform data entry accurately while maintaining attention to detail
- Demonstrated ability to manage time efficiently in a fast-paced setting while maintaining high-quality work standards
