About the role

The Office Administrator will be responsible for a range of administrative duties for the Gospel in Life (GinL) office, oversee GinL customer support and respond to inquiries, monitor and maintain book and supply stock/inventory and assist the team in a variety of administrative tasks. This person will learn the day-to-day needs of GinL’s operations and ensure that the team is fully supported daily in all functions this role is responsible for providing.


This is a part-time Hourly/Non-Exempt role for 16-20 hours per week. You will be required to be onsite at our W 27th Street Flatiron office at least two days per week, ideally Monday and Wednesday but open to other days for the right candidate. Some of the non-office related work can be done remotely.


What you'll do

Customer Support – 8 hours per week

  • Utilizing our help desk software, Help Scout, respond to all customer and donor inquiries within a timely manner (no later than 1-2 business days)
  • Reroute customer and donor inquiries to the right team member, when appropriate
  • Manage Help Desk and Donor Documentation and work with the team on ways to improve documentation clarity to help reduce support tickets
  • Answer, screen, and transfer phone calls to the correct person

Administrative Tasks – 6 hours per week

  • Pick up donation checks from offsite location once per week
  • Process donation checks
  • Process monthly office payments (rent, utilities, internet, etc.)
  • Process Independent Contractor invoices through Bill.com

Office Management – 2 hours per week

  • Order office supplies and beverages (coffee, milk, seltzers, etc.)
  • Maintain cleanliness of shared office spaces (kitchen, lounge, entryway, meeting rooms)
  • Order food for team gatherings
  • Schedule outside cleaners to clean the office
  • Takeout trash, break down cardboard boxes, when necessary
  • Help maintain and improve the physical office environment

Book Stock and Inventory – 2 hours per week

  • Oversee the order and delivery of the monthly GinL premium book (~1000-2000 per month on average) to the GinL office
  • Manage the inventory of shipping supplies (labels, envelopes, inserts, etc.)
  • Work with the Fulfillment Assistant on their weekly schedule, ensuring books are mailed in a timely manner to donors
  • Fill-in for the Fulfillment Assistant when they’re out and organize team packing events when additional assistance is needed
  • Maintain cleanliness and organization of the storage room

Other – 1-2 hours per week

  • Participate in weekly GinL team meetings
  • Participate in monthly in RCTC all-staff meetings
  • Participate in other team activities as they arise


Qualifications

  • Associates degree in business administration, communications, or related field (preferred
  • Previous administrative and customer support experience (preferred)
  • Non-profit, parachurch or church ministries experience (preferred)
  • Proficiency with G Suite apps
  • CRM and Help Desk experience
  • Strong organizational and project management skills
  • Excellent communication skills with the ability to work across diverse teams
  • Attention to detail and commitment to quality assurance

The pay range for this role is:
25 - 28 USD per hour(GIL)
