The Facilities Coordinator is responsible for overseeing day-to-day office operations, managing all details while managing the OCS facility. This role ensures efficient facility management while ensuring all employees at OCS work in an efficient, clean and organized office environment. The Coordinator is responsible for coordination of vendors that support the facility operations and evaluating options to enhance workplace experience and operational effectiveness.

DUTIES & RESPONSIBILITI
- Manage daily office operations including mail distribution and supply inventory
- Oversee DataWatch badge and gym access and 3rd floor badge permissions
- Order keys for office cabinets as needed
- Order, replenish, and monitor office supplies, paper inventory, and business cards
- Coordinate and manage reserved parking assignments
- Process and manage Prism (building maintenance) requests
- Administer FedEx accounts and shipping logistics
- Coordinate with vendors for services, deliveries, and office needs
- Manage all vendor invoices and payments and budget management/tracking
- Monitor departmental spending and track supply usage
- Oversee delivery, setup, and purchasing of furniture and equipment
- Support cubicle space planning and workspace optimization
- Identify risks and address potential issues on the office floor
- Manage record retention program and all tracking/documentation
- Primary day to day contact with building security
- Manage written communications for facility related topics
- Decorations/events
- Strong computer skills (Microsoft Suite, PowerPoint, Excel, Word and Outlook)
- Handle other facility management duties as needed by acting as the key liaison with building management
- Coordinate with building management regarding any special needs with repairs
- Make and assume other duties and responsibilities required or assigned by management

EDUCATION & EXPERIENCE
- Associate degree or equivalent experience in facility /office operations
- 2 years in a facility/property or office management role
- Strong organizational and multi-tasking skills
- Strong communication (employee facing/vendor facing)
- Excellent problem solving and customer service skills
- Demonstrate professionalism in both communication and conduct.
