Front Desk Agent

We are seeking an energetic and detail-oriented Front Desk Agents to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike. Duties

• Greet and assist visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
• Manage multi-line phone systems to handle inquiries efficiently, directing calls to appropriate departments or personnel.
• Maintain accurate data entry records using spreadsheets and productivity software such as Microsoft Office and Google Workspace.
• Handle clerical tasks including filing, proofreading, document preparation, and managing correspondence.
• Schedule appointments, manage calendars, and coordinate meetings to optimize office productivity.
• Oversee office supplies inventory, place orders as needed, and ensure the workspace remains organized and welcoming.
• Provide customer support through effective phone etiquette, client communication, and problem resolution.

Qualifications

• Proven experience in office management or administrative roles with strong clerical skills.
• Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry tools.
• Familiarity with QuickBooks for basic bookkeeping tasks is a plus.
• Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
• Exceptional customer service skills with a friendly demeanor and professional phone etiquette.
• Bilingual abilities are highly desirable to serve diverse client needs effectively.
• Previous experience as a front desk or receptionist in medical or dental settings is advantageous but not required.
• Demonstrated technical proficiency with multi-line phone systems, office software, and general computer skills.
