About the Role:
Our client, a trusted financial planning services firm, is dedicated to helping individuals protect and optimize their retirement savings. They are seeking a highly organized, client-focused Client Services Specialist to support the onboarding and servicing of new and existing clients.
This role is ideal for someone who thrives in a fast-paced environment, enjoys detailed operational work, and values building strong relationships. You will manage applications, transfers, servicing requests, and client data while serving as a key point of contact for both clients and carriers. Your work ensures a seamless and professional experience for every client the firm serves.
Key Responsibilities:
- Process financial e-applications for brokerage annuities and life insurance.
- Serve as the first point of contact for new clients, transfers, and service-related inquiries.
- Initiate and track movement of funds from existing accounts to new accounts.
- Monitor applications, resolve NIGOs, and provide weekly status updates to clients.
- Onboard and maintain client accounts using money management and financial software, including Charles Schwab.
- Assist existing clients with money movement, reallocations, Roth conversions, and RMDs.
- Meet with clients (in-person and virtually) to gather estate planning information.
- Coordinate with third-party partners to review home and auto insurance policies.
- Prepare service documents, client review materials, and meeting paperwork for financial planners.
- Build strong, trustworthy relationships with clients, carriers, and business partners.
- Maintain accurate and complete client records in Salesforce.
- Support clients with account setup and login assistance for aggregation tools.
- Conduct client information reviews to ensure CRM accuracy.
- Communicate extensively via phone with clients and carriers.
- Organize, prioritize, and manage multiple deadlines in a high-volume environment.
Qualifications:
- Minimum 2 years of client service or processing experience in financial services.
- Strong customer relationship and client service skills.
- Exceptional attention to detail, follow-through, and organizational abilities.
- Warm, friendly, and trustworthy demeanor.
- Bachelor’s degree preferred.
- CRM experience required; Salesforce strongly preferred.
- PA Life & Health and/or Series 65 licenses are a plus.
- Skilled in Microsoft Office (Word, Excel, Teams, OneNote) and DocuSign.
- Excellent written, verbal, and problem-solving skills.
- Ability to interact professionally with clients and external partners.
- Ability to work in a fast-paced environment with shifting priorities.
- Must pass background and fingerprint checks.
Working Conditions:
- Full-time, onsite position in Allentown, PA.
- Occasional evening hours required.
- Attendance at client events as needed.

Salary : $55,000 - $65,000
