Position Summary:

The Facilities Supervisor supports the Facilities Director by coordinating day-to-day facility operations, supervising assigned staff/contractors, and overseeing minor repairs and small projects to keep sites safe, functional, and patient-ready. This role manages preventive maintenance and work order execution, coordinates vendors, and ensures timely completion of facility needs while escalating higher-risk items and strategic decisions to the Facilities Director.

Key Responsibilities:

Operations & Work Order Management

  • Coordinate daily facility support across assigned sites (repairs, maintenance requests, basic troubleshooting) and ensure timely closure of work orders.
  • Track and maintain preventive maintenance schedules and related work order data/logs; ensure documentation is complete and organized.
  • Conduct routine site walk-throughs; identify repair needs and coordinate corrective actions (minor projects and improvements).

Vendor & Contractor Coordination

  • Coordinate outside vendors/contractors (quotes, scheduling, site access, oversight of work quality, follow-up) for maintenance and minor projects.
  • Communicate effectively with internal stakeholders regarding timelines, disruptions, and project status.

Supervision & Team Support

  • Provide daily direction and prioritization to facilities/maintenance staff (if assigned) and/or coordinate contractor work to meet operational needs.
  • Support staffing coverage planning (routine coverage, urgent issues, scheduled maintenance).

Safety & Readiness

  • Promote safe work practices and basic hazard awareness; report and escalate safety concerns promptly. (OSHA-style hazard recognition/abatement is a common baseline expectation.)
  • Maintain a clean, safe environment in coordination with the Director’s overall facilities program.

Scope Clarifier (important for your budget)

  • This role supports execution and minor project oversight; capital planning, strategic facilities planning, and primary regulatory/compliance ownership remain with the Facilities Director.
