- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Maintain organized filing systems for contracts, listings, and client records, ensuring easy retrieval
- Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and financial record keeping
- Assist with calendar management and appointment scheduling for agents and clients
- Handle data entry tasks with precision, updating property listings and client information in multiple databases
- Provide exceptional customer support by responding to inquiries via phone, email, or in person
- Coordinate office supplies inventory and ensure the workspace remains tidy and efficient
- Proofread documents for accuracy before distribution, maintaining high standards of professionalism
- Support office management tasks such as organizing meetings, preparing reports, and managing correspondence
Qualifications
- Proven experience in office management or administrative roles within a real estate or related environment
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
