About the Job

The Compliance Coordinator plays an important role within the organization by supporting the company’s Compliance Department (“Team”), including its Analysts and Management, in the fulfillment of enterprise compliance with applicable laws, rules, and regulations. This position is essential for ensuring required reports, records and compliance registers are completed and maintained in an accurate and timely manner. The Compliance Coordinator supports this initiative by exercising a continuous willingness to provide assistance wherever such is needed with a positive approach and excellent organizational, forward-thinking and team player acumen. Highly collaborative position in a fast-paced environment with exposure to interaction with other departments, clients and regulatory entities.


Essential Function

  • Process mandatory submissions of surplus lines insurance policy transactional data (“batch files”) through applicable states’ Surplus Lines Insurance Portals (“SLIP”): (On-the-job training is provided.)

-  Run batch files using Power BI Queries that have been established by I.T.

-  Identify missing producer information

-  Submit transactions that match Producer Lookup Table (“PLUP”)

-  Debug errors from batch file submissions

-  Request and ensure obtainment of missing producer information through direct communications

with clients (Program Administrators)

- Maintain accuracy of PLUP and ensure fluid communication with I.T. and management

- Maintain accuracy of policies’ Producer information by communicating corrected/obtained Producer

information directly with I.T. and following through to confirm implementation into production

environment


  • Triage consumer complaints that are received from regulatory entities (i.e., Departments of Insurance) to determine the nature of the complaint, the deadlines, and who to request response materials from. Maintain calendar/reminder system to ensure Program Administrators provide response materials on time and send follow-ups as needed.

-  Maintain a consumer complaint tracking log and assist Management with ensuring Company’s

formal response is submitted to the applicable regulatory entity by the deemed deadline.


  • Monitor and submit payment requests for state assessments and fees, follow through for completion, and maintain internal documentation/proof of payments via internal tracker.


  •  Review, sort, scan, and distribute physical postal mail.


  • Assist with drafting and maintenance of internal policies and procedures to ensure the Team’s operations are carried out in accordance with laws and regulations.


  • Create, input information, and maintain Excel spreadsheets for various projects.


  • Prepare visual presentations (i.e., PowerPoint slides) for various projects.


  • Perform basic research using industry resources available online.


  • Provide overall assistance to Management and Senior Compliance Analysts for various tasks, including processing data calls/reporting obligations as assigned.


Job Requirements


REQUIRED:

  • At least 2 years’ experience in a corporate office environment.
  • Proficiency in basic computer skills (Microsoft Office suite (including Outlook, Word, Excel, and PowerPoint) and Microsoft Teams).
  • Strong written communication skills to varying audiences, with knowledge of ‘tone’ of communications.
  • Confident verbal communication skills with demonstrated ability to effectively articulate various subject matters to varying audiences.
  • Excellent attention to detail and ability to produce accurate work products with low error ratio.
  • Strong team mentality with desire to provide assistance to varying levels of coworkers, both inside and outside of the Team.
  • Proficiency in performing web-based searches and producing summaries of information.


STRONGLY PREFERRED:

  • Advanced ability to create intelligent Excel spreadsheets and/or direct computer programming experience.
  • Completion of insurance industry specific courses from “The Institutes” or other accredited sources.
  • Completion of some college/technical/professional courses related to general business administration
