HVAC Project Manager

We are looking for an experienced HVAC Project Manager who understands both the technical and operational side of commercial HVAC and plumbing projects. This person will be responsible for taking ownership of projects from the initial proposal and planning stages through installation, completion, and service.

You will be responsible for coordinating people, materials, schedules, equipment, communication, and project requirements to ensure jobs are completed on time, on budget, efficiently, and to a high standard of quality.

Responsibilities Project Management & Planning

• Manage HVAC projects from initial proposal through final completion and service.
• Review project plans, specifications, scopes of work, schedules, and contract requirements.
• Develop and maintain project schedules, timelines, and milestones.
• Set up and maintain project summary sheets with budgets, schedules, material requirements, labor needs, and important project information.
• Track projects closely and identify potential delays, conflicts, or cost issues before they become problems.
• Coordinate project activities between the office, field crews, customers, general contractors, vendors, and other trades.
• Conduct routine job-site visits to monitor progress, identify issues, and ensure work is moving according to plan.
• Maintain accurate project documentation, updates, schedules, notes, and other required records.

Materials

• Determine material requirements for each project.
• Order materials, equipment, fittings, and other job-specific items in a timely manner.
• Coordinate deliveries to ensure materials arrive when and where the field needs them.
• Stay ahead of material requirements and avoid crew downtime caused by missing materials or equipment.
• Track material orders, lead times, backorders, and delivery schedules.
• Communicate material or equipment issues immediately and develop solutions before they impact the schedule.

Crew & Field Coordination

• Coordinate with managers to schedule, plan, and assign appropriate personnel to projects.
• Make sure crews have the information, materials, equipment, manpower, and direction required to complete their work.
• Monitor field progress and hold crews accountable to project schedules and expectations.
• Communicate project priorities and upcoming work clearly to field personnel.
• Anticipate what the crew will need next and coordinate those needs before they become a problem.
• Work with field personnel to troubleshoot mechanical, installation, scheduling, and logistical issues.
• Maintain a strong relationship with the field while ensuring projects remain productive and on schedule.

General Contractor & Client Relations

• Serve as a primary point of contact for general contractors, clients, and other project stakeholders.
• Communicate project status, schedules, changes, delays, and solutions clearly and professionally.
• Work closely with clients and GCs to understand their needs, expectations, and project goals.
• Anticipate potential problems and address them proactively.
• Respond quickly and professionally when issues arise.
• Participate in project meetings and coordination meetings as required.
• Build strong working relationships that lead to repeat business and additional opportunities.

Project Execution & Cost Control

• Ensure projects are completed on time and within budget.
• Monitor labor, material, equipment, and other project costs.
• Identify inefficiencies and find ways to improve productivity and profitability.
• Monitor job progress against the original scope, schedule, and budget.
• Identify scope changes and potential change-order opportunities.
• Communicate changes to management, customers, and field personnel as appropriate.
• Coordinate inspections, punch lists, corrections, closeout, and final completion.
• Work to minimize unnecessary labor, material waste, downtime, return trips, and scheduling issues.

The right person for this position has a strong understanding of HVAC construction and project management and can confidently manage multiple moving pieces at once.

• Has previous experience managing or coordinating commercial HVAC projects.
• Has strong mechanical and HVAC knowledge.
• Understands how an HVAC job is installed from start to finish.
• Can read and understand mechanical plans and project specifications.
• Understands construction schedules and how HVAC work interacts with other trades.
• Has experience working with general contractors and construction teams.
• Can effectively communicate with both field crews and customers.
• Is highly organized and capable of managing multiple projects simultaneously.
• Is comfortable ordering materials and coordinating equipment and deliveries.
• Can monitor project costs and understands the importance of job profitability.
• Has strong problem-solving and decision-making skills.
• Can identify problems before they become delays.
• Is comfortable making decisions and taking ownership of projects.
• Has excellent follow-through and communication skills.
• Is dependable, proactive, and able to work in a fast-paced environment.

What Success Looks Like

A successful Project Manager will keep projects moving without constantly having to be reminded what needs to happen next.

• Properly staffed and scheduled.
• Supplied with the right materials and equipment at the right time.
• Communicated effectively between the office, field, GC, and customer.
• Completed on schedule.
• Managed within budget.
• Free from avoidable delays and unnecessary downtime.
• Properly documented and closed out.
• Completed efficiently and profitably.
