What are the responsibilities and job description for the Office Operations Coordinator position at RE/MAX Preferred?
We're hiring a proactive powerhouse to bring structure and efficiency to our Monona office.
ABOUT THE OPPORTUNITY
This isn't your typical administrative role. We're looking for someone who sees around corners, anticipates needs before they're expressed, and moves mountains to get things done. If you're the friend everyone calls when they need someone to "just handle it," this could be your perfect role.
As our Office Operations Coordinator, you'll serve as the central hub of our office operations - the person who keeps everything running smoothly while our team focuses on what they do best. You'll work 20-25 hours per week on-site in our Monona location.
WHAT YOU'LL DO
Central Hub Operations
You'll be the single point of contact for staff requests and inquiries. Think of yourself as the hub of a wheel - you'll take in requests, gather necessary information from the team, and deliver complete solutions. You'll filter distractions, prioritize effectively, and ensure leadership can focus on strategic decisions.
Executive Support & Coordination
You'll manage the executive calendar, schedule meetings, own all follow-up actions, and disseminate information to the right people. Meeting with leadership 1-2 times weekly, you'll ensure decisions get executed and nothing falls through the cracks.
Office Management
You'll handle day-to-day operations including check deposits, agent support, supply management, and general administration. You'll maintain an organized, efficient office environment where everyone can do their best work.
Proactive Problem-Solving
You'll identify operational gaps before they become problems. You'll see patterns, spot inefficiencies, and implement solutions without waiting to be asked. When you see something that needs fixing, you'll fix it.
Relentless Follow-Through
You'll track multiple priorities, follow up persistently (yes, we need a friendly bulldog), and hold people accountable to their commitments with grace and professionalism.
WHO WE'RE LOOKING FOR
The Must-Haves:
✓ Proactive self-starter who anticipates needs and takes initiative
✓ Exceptional organizational skills with ability to manage multiple priorities
✓ Strong communicator who can be both direct and diplomatic
✓ Comfortable holding people accountable (kindly but firmly)
✓ Pattern recognition expert who spots issues before they escalate
✓ Quick learner who adapts easily to new systems and processes
✓ Naturally friendly and approachable with persistent follow-through
You'll Love This Role If You:
- Get energized by solving problems and removing obstacles for others
- Have satisfaction from checking items off lists and closing loops
- Can switch contexts quickly without losing track of details
- Have a sixth sense for what needs to happen next
- Love being the person everyone depends on to keep things organized
- Can read situations and know when to push and when to support
WHAT WE VALUE
We're looking for someone who doesn't need hand-holding. You'll have the autonomy to see what needs to be done and do it. You'll have the authority to manage priorities and make decisions about how work gets done. Most importantly, you'll have the support of a team that recognizes the critical role you play in our success.
