Real Estate Office Director of HospitalityWe’re searching for a diligent Real Estate Brokerage - Director of Hospitality. You must be driven and a dedicated professional to join our growing office. You will be primarily responsible for leading the first-impression division and ensuring guests and callers experience warm and friendly service. Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of answering phones, office presentations, filing, and overall assistant duties. Be positive, energetic, and upbeat!Maintain a high-minded, positive, “It’s my pleasure” attitudeAnswer incoming phone calls and courteously welcome office guestsFollow client/customer calls in the protocol in Google DriveCoordinate conference room usageKeep reception/conference areas neat and presentableKeep the coffee/lunch area neat and stocked. To include taking out the trash, doing dishes, wiping counter areas, and vacuumingKeep common workspaces neatCoordinate lunchtimes with the Director of Agent Services so the front desk is covered at all timesInformation:Postmark and send outgoing mail dailyAudit files daily; new uploads should be audited on the same dayCheck office email hourly and respond/distribute accordinglyDistribute incoming mail/faxes, agent contracts, and earnest within 1 hour of receiptManage the office touch program in Google DriveHandle the agent onboarding checklist and send out reminders as neededCreate and send special occasion agent cards (b-day, congrats, new baby, get well, sympathy, etc.)Remove departing agents from the phone system and mailroom within 24 hours of departingVideography and video editing (not required)Monitor agent mailboxes and emails if they need to be emptiedClean out vendor information and flyers weeklyGenerate agent office information/updates email at 5 pm daily or as neededTroubleshoot and resolve issues with the phone system within 1 hourAct as office liaison to the title, mortgage, inspection, and home warranty companiesDistribute agent mail and office billingsKeep form bins stocked and notify agents of new formsSupplies:Maintain office supplies and inventory, and submit orders in a timely mannerKeep all copiers, fax machines, and printers stocked with paperMaintain coffee and beverage supplyProfessional Standards:Attend all biweekly staff meetings.Arrive at the office promptly at 8:30 A.M. and leave when the office closes at 5:00 P.M. Monday - Friday.Dress in a professional manner at all times (business casual)Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being metComplete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possibleNotify transaction participants when a deadline is approaching Assist the real estate team in facilitating local events to foster connections with people in the neighborhoodQualifications:Excellent written and verbal communication skills Candidates are required to have a high school diploma or a GED Has knowledge of Microsoft Office and customer relationship management softwareAbout CompanyAt RE/MAX Heritage, our mission is simple yet powerful: Growing, Caring, and Sharing.
