Responsibilities
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate travel arrangements including booking flights, accommodations, transportation, and preparing itineraries to ensure seamless travel experiences.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
- Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while screening calls and taking accurate messages.
- Organize and maintain filing systems—both physical and digital—ensuring easy retrieval of documents and confidentiality of sensitive information.
- Assist with event planning for meetings, conferences, or company functions by coordinating logistics, managing invitations, and overseeing event setup.
- Perform data entry tasks efficiently using Microsoft Office applications and data management tools like QuickBooks for bookkeeping and financial record keeping.
- Support project coordination efforts by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
- Conduct office management duties such as ordering supplies, managing office equipment maintenance, and overseeing front desk operations.
- Execute clerical responsibilities including typing reports or transcriptions, proofreading documents for errors, and maintaining organized records.
- Provide exceptional customer service by addressing inquiries professionally both in person and over the phone while maintaining positive relationships with clients and visitors.
- Utilize office technology such as DocuSign for document signing processes and multi-line phone systems to streamline communication channels.
Skills
- Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Calendar), and familiarity with Microsoft Outlook Calendar.
- Excellent typing speed combined with transcription skills to produce accurate documentation swiftly.
- Demonstrated ability in event planning, project coordination, office management, bookkeeping (QuickBooks), data entry, filing systems, and clerical tasks.
- Strong communication skills with impeccable phone etiquette; ability to handle multi-line phone systems professionally.
- High level of computer literacy with experience in office equipment management including front desk operations.
