Job Summary
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle all aspects of office management such as filing, data entry, document proofreading, transcription, and maintaining organized records.
- Support event planning activities for corporate meetings, team-building events, and client engagements from conception through execution.
- Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
- Provide executive administrative support by preparing reports, presentations, and correspondence with excellent phone etiquette and professional communication skills.
- Oversee front desk responsibilities including greeting visitors, answering multi-line phone systems efficiently, and managing incoming inquiries with courteous customer service.
- Assist with project coordination by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
- Manage personal errands and scheduling needs for executives to optimize their productivity.
- Use office software such as Microsoft Office Suite (Word, Excel, PowerPoint) to create documents and presentations that meet high standards of quality.
- Support bookkeeping activities through data entry and record reconciliation using QuickBooks or similar tools.
- Ensure all office procedures are followed accurately while maintaining confidentiality of sensitive information.
Experience
- Proven experience as a Personal Assistant or in an administrative support role within a professional office environment.
- Demonstrated expertise in calendar management using Microsoft Outlook Calendar or Google Workspace tools.
- Strong background in office management functions including filing systems, data entry, clerical tasks, and customer service excellence.
- Familiarity with project coordination methods and event planning processes to facilitate seamless execution of company initiatives.
- Proficiency in QuickBooks for bookkeeping tasks along with general computer literacy across Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools.
- Excellent typing speed combined with proofreading skills to produce accurate documents swiftly.
- Experience handling multi-line phone systems with professional phone etiquette in a busy office setting.
- Knowledge of transcription services and document management software such as DocuSign is preferred but not mandatory.
