We are a boutique real estate brokerage seeking a talented, motivated Executive Assistant to support our Broker and team. Russian fluency is required. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, takes initiative, and is passionate about real estate.


Key Responsibilities:

  • Manage complex calendars, scheduling, and communications for the Broker
  • Oversee multiple real estate transactions and the escrow process simultaneously
  • Support day-to-day office management and operational tasks
  • Provide outstanding service and communication to clients, agents, and partners
  • Maintain organized systems for contracts, listings, and transaction files
  • Assist with leasing and property management tasks as needed


Who You Are:

  • Experienced in real estate administration, leasing, or property management (preferred)

Compensation:

  • $2,500/month (based on a full-time position) bonuses

Responsibilities:

Key Responsibilities:

  • Provide seamless day-to-day office management to ensure the brokerage operates efficiently.
  • Manage the full contract-to-close process for multiple real estate transactions with precision and care.
  • Create, implement, and continuously improve an Operations Manual documenting all company systems, procedures, and standards.
  • Build, implement, and manage systems for lead generation, client communications, database management, and back-office support.
  • Act as the primary liaison between clients, agents, vendors, and service providers to ensure a white-glove experience.
  • Participate actively in company-provided training and professional development sessions to enhance your skills and career growth.
  • Prepare and distribute weekly and monthly client update reports (for buyers and sellers) to maintain transparent communication.
  • Create and maintain a lead follow-up system, ensuring that every potential client receives timely, personalized attention.
  • Keep the Broker informed of important issues, challenges, and opportunities to maintain smooth operations.
  • Deliver concierge-level service to clients, providing proactive support throughout the buying, selling, or leasing process.
  • Coordinate with preferred vendors, including professional photographers, marketing partners, contractors, and inspectors.
  • Manage critical dates related to property sales, inputting them into shared calendars and sending timely reminders to all parties.
  • Serve as a secondary liaison with title companies to assist in gathering necessary documents and facilitating closings.
  • Coordinate the installation and removal of "For Sale" signs and marketing materials at appropriate times.
  • Schedule and oversee property photography and marketing materials for new listings.
  • Take ownership of administrative workflows, continuously seeking ways to streamline processes, improve efficiency, and free up the Broker’s time.
  • Contribute ideas and initiatives to improve the client experience, marketing efforts, and internal operations.
  • Assist with light social media support, listing marketing, and client communication projects as needed.
  • Assist with light event planning for client appreciation events and company celebrations.
  • Help brainstorm marketing content ideas (posts, mailers, newsletters) to promote listings and brand presence.
  • Research and recommend new tools, technologies, or vendors to improve business operations.
Qualifications:

Qualifications:

  • Fluent in Russian (Required)
  • Self-motivated with a positive, can-do attitude and eagerness to learn new systems and processes
  • Highly goal-driven, organized, and able to prioritize shifting daily responsibilities with minimal oversight
  • Calm under pressure, flexible in a fast-paced environment, and able to manage the emotional ups and downs common in real estate transactions
  • Excellent communicator, both written and verbal — professional grammar, spelling, and proofreading are a must
  • Outstanding customer service skills with the ability to empathize, build rapport, and maintain strong client relationships
  • Strong problem-solving skills and the ability to assess, prioritize, and act quickly
  • Exceptionally detail-oriented and deadline-driven, with a commitment to producing high-quality, accurate work
  • Team player who thrives in a collaborative environment and is passionate about supporting the Broker and broader team goals
  • Past real estate experience (preferred but not required — we will train the right candidate)
  • Knowledge of real estate contracts, escrow processes, and transaction timelines is a plus
  • Comfort using and managing checklists, workflows, and tracking systems for operational efficiency

Technical Skills:

  • Technologically savvy and quick to learn new programs; ability to troubleshoot common issues independently
  • Proficient with:
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Google Workspace (Drive, Calendar, Docs, Sheets)
  • CRM databases (experience preferred)
  • DocuSign
  • ZipForms Plus (preferred)
  • MLS Systems (preferred)
  • Social Media platforms (Facebook, Instagram, LinkedIn) and basic marketing tasks
  • Mac computer experience preferred

Additional Requirements:

  • Reliable, presentable vehicle, valid driver’s license, and insurance
  • Real Estate License preferred but not required — opportunity to grow into a licensed role if desired

  • Have experience supporting a busy real estate office or team (or a similar fast-paced client service business)
  • Have experience with marketing support, listing coordination, or client onboarding
