Job Purpose:
We are seeking a highly organized and detail-oriented Administrative Specialist to join our team at Rawhide Youth Services. The Administrative Specialist will be responsible for managing administrative tasks and scheduling duties for all of our Northern outpatient offices, with a primary base in our Appleton location. This role is crucial to ensuring the smooth operation of our outpatient therapy services, facilitating communication between staff, clients, and other stakeholders.
Essential Job Functions:
- Schedule appointments and manage calendars accurately and efficiently.
- Ensure accurate and complete documentation with a general understanding of how information supports the billing process.
- Communicate effectively with clients, staff, and other stakeholders via phone, email, and in-person interactions.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Navigate electronic scheduling systems and office software with ease.
- Prioritize tasks and manage time effectively to meet deadlines and respond to urgent requests.
- Adapt to changing priorities and work well under pressure in a fast-paced environment.
Job Qualifications:
- High school diploma or equivalent; office administration certification preferred.
- Basic working knowledge of healthcare billing practices to support accurate documentation and effective coordination.
- Previous administrative experience in healthcare or social services.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office and scheduling software.
