Basic Duties and Responsibilities:
Executive Support
- Provide direct administrative support to the CEO and executive team, including managing calendars, scheduling meetings, coordinating travel, and preparing confidential correspondence
- Manage and organize internal and external communications, ensuring timely responses and follow-up on behalf of company leadership
- Act as liaison between the executive team and vendors, clients, government agencies, and internal departments
- Handle sensitive information with discretion and maintain a high standard of professionalism in all interactions
Legal & Compliance Support
- Draft, review, and edit legal and business documents such as contracts, leases, operating agreements, and regulatory filings
- Coordinate with legal counsel (in-house and external) on document preparation, filings, and corporate legal matters
- Maintain accurate corporate records, contractor licenses, and professional certifications across multiple states
- Oversee licensing and compliance processes, including renewals, applications, and annual report filings
- Support insurance documentation workflows and regulatory compliance tracking
Strategic Coordination
- Lead or assist with special projects, high-priority initiatives, and planning efforts as assigned by senior leadership
- Supervise administrative workflows and support functions across field and office operations to ensure consistency and efficiency
- Support project documentation management and cross-departmental coordination
- Contribute to the execution of company-wide initiatives and internal process improvements
