Job Purpose
In keeping a tradition of excellence, the purpose of the Secretary Bookkeeper is to assist in the administration of the district's business affairs so as to provide the maximum services for the school office and to ensure that all students' needs are being met. Duties And Responsibilities
- Maintain a complete and systematic set of records of all financial transactions
- Record details of the school's financial transactions in appropriate journals and subsidiary ledgers from sources as requisitions and payroll records
- Summarize and balance entries recorded in individual journals and ledgers, and transfers data to general ledgers
- Prepare financial statements, income statements, and cost reports to reflect the financial condition of the district
- Trace errors and records adjustment to correct charges or credits posted to incorrect amounts
- Compute and record cash receipt summaries
- Reconcile canceled payroll and accounts payable checks with bank statements and verifies bank balance with statements
- Receive and route all incoming calls
- Maintain office equipment, inventories and office supplies
- Keep record of staff timesheets, leave and absences
- File correspondence, invoices, cards, or other records in a timely manner and distributes to the correct department/person
- Clear files at intervals under a principal's supervision
- Purchase for the school's administration by identifying and recognizing the real needs for goods and services in all parts of school with consideration of the guidelines of prices, service, quality and delivery
- Maintain financial records (e.g. ticket sales, fundraisers, monthly bank statements, deposits, student projects, receipts, etc.) for ensuring completeness and availability of records while remaining in compliance with district policy and established regulatory guidelines.
- Monitor financial procedures (e.g. student activities, fundraisers, student clubs, etc.) for providing services within established guidelines.
- Participate in meetings (e.g. unit meetings, in-service training, workshops, etc.) for conveying and gathering information required to perform job functions.
- Perform general and program specific clerical functions (e.g. distributing purchase orders, scheduling, copying, faxing, etc.) for supporting departmental activities.
- Prepare a variety of financial information (e.g. account status by club, activity ticket revenue, student fees, general funds, etc.) for documenting activities, providing reference, conveying information, and complying with established financial, legal, and administrative requirements.
- Reconcile financial data for maintaining accurate account balances while ensuring compliance with established accounting practices.
- Research discrepancies of financial information and documentation (e.g. purchase orders, invoices, etc.) for ensuring the accuracy and adhering to established procedures prior to processing.
- Respond to inquiries of staff and administration regarding financial procedures for providing information, direction and referral for addressing inquiry.
- Maintain and accept responsibility for any district owned fixed asset item assigned to employee and ensure appropriate use by following district policies for acceptable use
- Undergo periodic evaluations according to state and board policy procedures
- Maintain confidentiality
- Regular, dependable, in person attendance and punctuality are essential functions of this position
