The OpportunityWe are seeking a highly organized and polished Front Desk Administrative Assistant to ensure the smooth operation of our firm. You will serve as the primary contact for clients and provide comprehensive administrative support to both the Client Success and Tax teams. This role demands meticulous attention to detail, strong multi-tasking abilities, and absolute integrity in handling confidential client information. Required Qualifications & Skills
Experience: 2 years of experience in an administrative/receptionist role in a fast-paced office environment, with experience in supply ordering and vendor coordination.
Organizational Skills: Excellent organizational, time management, and multi-tasking abilities, with keen attention to detail.
Technical Proficiency: strong proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Integrity: Proven ability to manage sensitive and confidential information with the highest level of discretion and professionalism.
Communication: strong professional demeanor and excellent written and verbal communication skills.
Familiarity with CRM tools (e.g., HubSpot) and/or tax/accounting software (e.g., CCH, QuickBooks, UltraTax, Xero).
Basic understanding of accounting principles or tax processes.
This is an office-based role located in Soquel, CA.
Workload is 40 hours/week during peak tax season (Jan-Apr) and 30-35 hours/week during off-peak season.
Flexibility to work extended hours during peak season deadlines is required.

Responsibilities
Key Responsibilities
Client Reception & Communication: Serve as the primary point of contact; warmly greet in-person clients and manage high-volume incoming phone lines. Direct inquiries to the appropriate CS or Tax staff. Manage the general office inbox and fax lines.
Document Management & Compliance: Handle client documents professionally and confidentially. Accurately log client source documents (e.g., Engagement Letters, Organizers) into the CRM system (e.g., HubSpot). Ensure all documents comply with legal and regulatory privacy standards.
Scheduling & Support: Manage calendars for tax preparers and accountants, coordinating client meetings. Support Client Advocates by preparing client tax packages as assigned.
Office Operations: Manage daily office administration, including processing mail/couriers, coordinating supplies inventory, monitoring office equipment maintenance/repairs, and ensuring required HR/labor postings are current.
Facilities: Address minor site issues related to facilities or property management (e.g., janitorial, maintenance) as directed by the CS Leader.
