Randall is currently seeking a top-tier,
experienced Operations Coordinator (Bilingual) to join our Sheetmetal Ductwork
Fabrication division and to work full-time in our Apopka, FL headquarters. We

Position
Summary
This fully in-office position with
standard weekly hours that will directly
report to and assist our Management and Operations Team. This role is
responsible for managing office operations, handling communications, and assisting
Project Managers to perform tasks in support of the efficient operation of our mechanical
and plumbing contracts.
Essential Functions
Billing & Cost Tracking
- Prepare and submit billings (progress, T&M, internal
transfers)
- Track job costs vs. budget; flag variances
- Support change order documentation and billing backup
- Maintain accurate cost coding (labor, materials,
equipment)
Scheduling & Production Support
- Maintain shop production schedule (weekly look-ahead)
- Coordinate priorities with President, PMs, and shop
leads
- Track fabrication status vs. delivery dates
- Communicate schedule updates and conflicts early
Accounts Payable / Purchasing Support
- Process vendor invoices; match to POs and deliveries
- Assist with PO creation and tracking
- Maintain vendor files and pricing records
- Follow up on missing tickets, packing slips, and
discrepancies
Document Control & Organization
- Maintain drawing logs, spool lists, and revision control
- Track submittals, RFIs, and release status for
fabrication
- Organize job files (digital and hard copy) for easy
access
- Ensure latest drawings are issued to shop
Coordination / Communication
- Act as central point between shop, PMs, prefab, and
field
- Support weekly coordination meetings (notes, action
items)
- Track action items to closure
Reporting
- Weekly production status report (by job/area)
- Billing and AP status reports
- Open issues / risk log (schedule, materials, approvals)
- 3 years’ experience in Commercial Construction or Shop Fabrication.
- Bilingual
(English & Spanish) required.
- High
School Diploma required.
- Possess good computer
skills (Microsoft Suite).
- Communication skills (can speak to people in a professional environment).
- Ability to have positive interactions with clients, vendors,
subcontractors and colleagues.
- Time conscious (can be on time and work efficiently).
- Demonstrate
dependability, flexibility, and teamwork.
- Ability to pass drug screen and reference check.
- Ability to follow verbal and written
instructions.
- Ability to adhere to safety
procedures at all times.
- Ability to work well with others.
Physical Requirements
This is primarily an office position
and, as such, you must be able to sit up
to six or more hours in an eight-hour workday, lift light objects such as files
and paperwork frequently during the day, and objects weighing up to 10 pounds
occasionally during the day. You must also be
able to bend, stretch, crouch, and lift as required by the job.
