Client Service Associate — RIA Operations
Location: Sarasota, FL — full-time, in-office (local candidates only) | Schedule: Monday–Friday, 9:00 AM–5:00 PM | Compensation: $50,000–$65,000, based on experience
About the RoleRanchCap, a growing registered investment advisor (RIA) in Sarasota, FL, is hiring a Client Service Associate for our in-office operations team. This is a hands-on role for someone with a few years of experience in RIA operations, wealth management, or client service who wants real ownership from day one — working directly with our advisors on the paperwork, transfers, and account maintenance that keep client relationships running smoothly, while helping us modernize how we work.

Compensation & Benefits• Competitive base salary ($50,000–$65,000, based on experience)

ResponsibilitiesClient Service & Operations
• Serve as a primary point of contact for client inquiries, providing prompt, accurate, and friendly service.
• Onboarding & Account Paperwork: Prepare, process, and track account paperwork — including new account opening, account maintenance, beneficiary updates, and transfer forms — using e-signature tools for accurate, efficient execution.
• Asset Transfers: Coordinate and track the transfer of assets (ACATs and non-ACATs) between custodians, proactively flagging and resolving processing errors or rejections before they become bottlenecks.
• Money Movement: Coordinate and process funds transfers — including wires, ACH links, and internal journal entries — between custodians, banks, and client accounts, following strict security protocols.
• Data Integrity: Maintain accurate, up-to-date client records in the CRM and portfolio management systems, serving as the gatekeeper for data accuracy across our systems.
Document Infrastructure & Workflow Technology
• Document Control: Organize and manage secure digital client vaults (e.g., ShareFile), ensuring files are structured logically and easy to retrieve.
• Move internal tasks through digital workflows, leaving clear status updates so the entire advisory team stays aligned.
• Identify opportunities to streamline recurring operational tasks and client service workflows.
• Help evaluate and implement software tools and AI-driven solutions to improve efficiency, accuracy, and client experience; document processes and help build repeatable workflows as the team grows.
RequirementsTo do well in this role, you’ll need:
• Local & In-Office: Based in or near Sarasota, FL and able to work in-office full-time.
• Experience: A few years of experience in RIA operations, wealth management, or client service is preferred; we will also consider highly capable entry-level candidates with strong internship or related experience.
• Excel & Technical Skills: Advanced Excel skills (e.g., formulas, pivot tables, VLOOKUP/XLOOKUP) required, along with strong general proficiency with Microsoft Office.
• Comfortable with technology and genuinely interested in using software and AI tools to improve how work gets done; experience with CRMs, databases, or portfolio/project management software is a plus.
• Attention to Detail: You naturally catch small errors that others miss and double-check your work before it moves forward.
• Highly organized and disciplined with a busy task queue — comfortable managing multiple priorities and deadlines while leaving a clear digital audit trail.
• A proactive problem solver who follows up on pending items and drives tasks to completion rather than waiting on a bottleneck.
• Strong written and verbal communication skills, with a client-first, professional demeanor.
• Self-motivated, ambitious, and eager to learn — comfortable asking questions and taking on new responsibilities.
• A team player who thrives in a small, collaborative firm environment.
• A degree or background in business, finance, information systems, or a related field is a plus, but not required if you possess the core capabilities above.
Preferred Qualifications• Series 65 or other IAR (Investment Adviser Representative) licensing.
• Familiarity with custodial platforms (e.g., Schwab, Fidelity, Pershing), CRM systems (e.g., Advyzon, Salesforce), or portfolio management software.
• Exposure to compliance processes at an RIA or broker-dealer.
