The Operations Coordinator at Ramona is a high-ownership, early-career role built for someone who wants to learn how a company works from the inside out. You will own the operational infrastructure that keeps Ramona running: onboarding and offboarding logistics, internal systems and documentation, shared services coordination, and office operations. You will work directly with the Chief of Staff and serve as a force multiplier on the team, taking projects from start to finish with minimal oversight.
This role requires a low-ego, high-ownership mindset — someone who is equally motivated to drive meaningful projects and to handle the unglamorous but essential work that keeps the company running. Success will be measured by reliability, process quality, and your ability to increasingly take on more complex and autonomous work over time. This is a launchpad role for someone with high potential who wants to grow into operations, people ops, or business operations over a 2-3 year horizon.
- Own operational logistics across onboarding, offboarding, and day-to-day coordination, ensuring consistent execution with minimal oversight.
- Own day-to-day shared services and office operations, including shipping/logistics, vendor coordination, office systems (e.g., phones), and team experience initiatives (events, swag, internal touchpoints)
- Build and maintain internal systems that keep Ramona organized and informed, including documentation, trackers, and shared tools.
- Manage vendor relationships and office operations, including procurement, facilities coordination, and external service providers.
- Serve as the connective tissue between teams, functions, and external partners, ensuring information and handoffs flow smoothly.
- Support the Chief of Staff on cross-functional projects, taking ownership of execution from kickoff to completion.
- Continuously improve operational processes by identifying friction, documenting workflows, and implementing scalable solutions.
- Apply AI tools to automate, streamline, and improve recurring operations tasks.
Required:
- Bachelor's degree or equivalent experience.
- 0-2 years of professional experience; recent or upcoming graduates strongly encouraged to apply.
- Exceptional attention to detail and follow-through.
- Strong written and verbal communication skills.
- Comfortable operating in ambiguity and switching between different types of work.
- Low ego, high ownership mindset; willing to take on both highly visible projects and essential behind-the-scenes work that keeps the company running.
Preferred:
- Experience with productivity and operations tools (Google Workspace, Notion, Slack, or similar).
- Exposure to or curiosity about AI tools for workflow automation.
- Experience in a startup or fast-paced environment.
- Interest in growing into a broader operations, people ops, or business operations role.
- 30 Days: Onboarding complete. Operational tasks (shared services, wiki, onboarding coordination) handled reliably with minimal oversight. Key systems and tools understood.
- 60 Days: First process improvements documented and shipped. Onboarding tracker and wiki gaps identified and addressed. Shared services workflow running smoothly.
- 90 Days: Operating as a trusted execution partner to the Chief of Staff. Independently owns at least one scoped project from start to finish. Beginning to explore AI-assisted automation for recurring tasks.
- 6-12 Months: Demonstrably reduces operational load on the Chief of Staff. Core operational workflows are documented, improved, and running with minimal friction. Actively taking on increasingly complex work.
