The Executive Assistant to the President provides comprehensive administrative and executive support to the President of Ralston College. This position ensures the smooth daily operation of the Office of the President and upholds the highest standards of professionalism, discretion, and institutional representation, advancing the institution’s mission to revive and reinvent the traditional university. The Executive Assistant serves as a liaison between the President and internal and external stakeholders, supporting communication, scheduling, and hospitality functions that advance the College’s mission.
ESSENTIAL DUTIES & RESPONSIBILITIES
Executive Support
- Manage the President’s calendar, travel, and expenses (including Divvy transactions, reimbursements, and per diems) with precision and foresight, assisting with personal appointments, travel, and related correspondence or errands to support the President’s overall effectiveness.
- Track the President’s ongoing tasks, projects, and commitments, ensuring timely progress, accountability, and clear communication across departments.
- Oversee day-to-day operations of the Office of the President, including mail, supplies, office readiness, and hospitality; manage inventories and service requests.
- Draft, review, and prepare correspondence, briefings, reports, and presentations as requested.
- Prepare meeting agendas, record minutes, and ensure timely follow-up on action items for meetings led by the President.
- Maintain strict confidentiality and discretion in all matters.
- Support the President’s donor cultivation and stewardship efforts by scheduling donor meetings, hosting visitors, and managing follow-up as needed.
- Coordinate logistics for Presidential donor engagements and events, ensuring a consistent and professional donor experience.
- Manage gift-related communications in coordination with the Development Office, including acknowledgment letters and tracking of related materials.
- Maintain accurate and current donor records in Salesforce related to Presidential interactions.
- Participate in the planning and execution of high-profile institutional events directly involving the President (e.g., lectures, dinners, commencements, donor engagements).
- Assist in managing logistics for visiting guests and scholars hosted by the President’s Office, including travel, accommodations, itineraries, and hospitality as needed.
- Coordinate with Development and Academic teams to ensure a seamless guest experience reflecting the College’s standards of excellence.
- Maintain organized records, filing systems, and archives for the Office of the President.
- Coordinate communication and scheduling among staff reporting directly to the President.
- Manage incoming calls, mail, and inquiries directed to the President’s Office; triage and respond as appropriate.
- Uphold professional standards in all written and verbal communications representing the President’s Office.
POSITION SPECIFICATIONS & REQUIREMENTS
- Bachelor’s degree required; Master’s degree preferred.
- Minimum of 3 years of executive assistant or senior administrative experience, preferably supporting C-suite or executive leadership in higher education or nonprofit settings.
- Exceptional organizational, written, and verbal communication skills.
- High proficiency in Google Workspace, Microsoft Office Suite, Zoom, and CRM databases (Salesforce experience preferred).
- Demonstrated ability to manage confidential information with discretion, act with integrity, and exercise sound judgment.
- Proven success in managing multiple priorities and projects independently while maintaining a calm, professional demeanor under pressure.
