Summary
Responsible for providing administrative support to the Chief of Human Resources and human resource leadership. Works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills. This includes organizing documentation, creating reports, taking and disseminating meeting minutes, and other organizational tasks. Requires close collaboration with various departments.
A significant level of trust, credibility and diplomacy is required. In-depth dialogue, conversations and explanations with managers and senior leaders of a sensitive and/or highly confidential nature.

Contacts: Frequent contact with employees, departments, and outside vendors. Some contact with members.
Qualifications
EDUCATION
Associate degree in business related field or two (2) years (64 college hours) of college related courses in business administration and/or human resources. Equivalent experience will be considered.
Experience
Position involves wrist/hand manipulation; good visual acuity for detail work; ability to bend stoop on a regular basis; reach overhead and lift up to 50 pounds. Vision abilities required by this job include close vision for frequent viewing of computer monitor and review of documents. Must possess a valid Texas driver’s license, means of transportation and be able to travel independently and work after normal business hours, when requested by management.
Mental Requirements
Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must have a strong ability to read and carry out various written instructions and follow oral instructions. Must have a strong ability to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Technical Skills
PC’s and printers, telecommunications equipment, calculator, fax and copy machine. Working knowledge of Microsoft Office applications.

Essential Job Functions
- Provides administrative support for the Chief of Human Resources and HR leadership team to include scheduling, arranging, and communicating of details for various meetings.
- Reviews, assesses, routes, answers and monitors follow up action steps on correspondence, including Dear HR, HRDept Email Box, HR FAQs.
- Provides support to HR Operations (administrative support regarding leaves, medical tracker, and payroll/benefits).
- Manages complex calendars with other Senior Leaders. Arranges meetings, appointments.
- Coordinates complex events, including confidential employee relations matters.
- Provides administrative support on organizational design and structure processes.
- Gathers and analyzes information required for administrative reporting.
- Answers routes phone calls, mail, and e-mail messages. May handle wide-range information dissemination.
- Provides wide range of complex office administration and support including composing and editing letters, memoranda, and reports.
- Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications.
- Prepares statistical reports as requested.
- Managing multiple deadlines across teams and with a variety of projects and constituencies.
- Uphold a strict level of confidentiality
- Perform other duties as assigned.
