Position Summary

The Construction Receptionist serves as the first point of contact for visitors, clients, vendors, subcontractors, and employees. This position provides administrative and clerical support to office operations while maintaining a professional and welcoming environment. The receptionist plays a key role in coordinating communication between the office, project teams, field personnel, vendors, and customers.

Essential Duties and Responsibilities

Front Desk & Communication

· Greet and assist visitors, customers, vendors, subcontractors, and employees.

· Answer and direct incoming phone calls in a professional manner.

· Manage incoming and outgoing mail, packages, and deliveries.

· Maintain visitor sign-in procedures and office security protocols.

· Respond to general inquiries and provide information as appropriate.

Administrative Support

· Perform data entry and maintain electronic and paper filing systems.

· Prepare correspondence, reports, forms, and other documents.

· Assist with meeting scheduling and conference room coordination.

· Order and maintain office supplies and breakroom inventory.

· Support document scanning, copying, and distribution.

· Assist in company events through HR or Marketing

· Manage Office Maintenance and accounts

· Assist dual location needs

Additional Duties

· Maintain a clean, organized, and professional reception area.

· Assist various departments with special projects and administrative tasks.

· Perform other duties as assigned.

Qualifications

Education

· High school diploma or GED required.

· Associate degree in Business Administration or related field preferred.

Experience

· 1-3 years of receptionist, administrative assistant, or office support experience preferred.

· Construction industry experience is a plus.

Skills

· Strong customer service and interpersonal skills.

· Excellent verbal and written communication abilities.

· Proficient in Microsoft Office (Outlook, Word, Excel, Teams).

· Strong organizational and multitasking skills.

· Ability to maintain confidentiality.

· Attention to detail and accuracy.

· Ability to work effectively in a fast-paced construction environment.

Preferred Qualifications

· Experience working with construction management or ERP software.

· Familiarity with certified payroll, project documentation, or subcontractor records.

· Basic understanding of construction terminology and project lifecycle.

Physical Requirements

· Ability to sit for extended periods.

· Frequent use of computers, phones, and office equipment.

· Ability to occasionally lift up to 25 pounds.

· Ability to move throughout the office as needed.

  • Phone calls answered and routed promptly.
  • Visitor satisfaction and professionalism.
  • Accuracy of document filing and record maintenance.
  • Timeliness of administrative support requests.
  • Office supply management and cost control.
  • Completion of assigned administrative projects.

Pay: $21.00 - $23.00 per hour
