Role Description
This is a full-time on-site role for a Payroll Accountant based in Riverview, FL. The Payroll Accountant must have a grounded and thorough knowledge of accounting principles with experience to match. This detail-oriented and highly ethical position is critical in ensuring employees are paid correctly, and on time, while maintaining strict compliance with nonprofit accounting standards. The Payroll Accountant supports financial integrity and transparency, ensuring responsible stewardship of donor funds. The Payroll Accountant will have additional accounting duties yet to be assigned. Possessing a gospel-centric approach, team collaboration, and friendly a demeanor is vital to the overall success of this role. This is more than a typical “number-crunching” accounting role, this is ministry.
This position reports directly to the Controller.
Primary Responsibilities
- Process full-cycle payroll, ensuring accuracy, timeliness, and proper approvals.
- Allocate payroll expenses across multiple donor-funded programs and restricted funds.
- Maintain payroll records, including wages, stipends, benefits, year-end merit increases, and funding sources.
- Review and approve W-2s and ACA forms.
- Setup and maintain payroll in current and new states as needed.
- Reconcile payroll-related accounts and resolve discrepancies promptly.
- Prepare and post payroll journal entries in accordance with nonprofit and fund accounting standards.
- Ensure compliance with federal, state, and local payroll laws.
- Partner with the Employee Experience Coordinator to manage payroll data, onboarding, terminations, and compensation and status changes.
- Prepare detailed payroll and labor reports for the VP of Operations, Executive Team, and auditors.
- Manage payroll tax filings and ensure timely remittance of all payroll-related liabilities.
- Assist with internal and external audits, ensuring full transparency and audit readiness.
- Contribute to budgeting and forecasting payroll costs.
- Identify and implement process improvements to strengthen internal controls and compliance.
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field. Master’s degree a plus.
- Minimum of 3-5 years of experience in payroll accounting; nonprofit accounting experience preferred.
- Proficient in payroll accounting software and Microsoft Word and Excel.
- Excellent analytical skills and attention to detail.
- Strong organizational and communication skills.
- Commitment to the mission and values of the organization.
