SUPERVISOR: Directing Principal
POSITION PURPOSE
Perform secretarial functions in the office.
RESPONSIBILITIES
Essential Functions:
1. Perform secretarial functions under the general direction of the elementary school principal.
2. Assist elementary school principal, as needed.
3. Help students, staff, and visitors with various problems or complaints in principal’s absence.
4. Organize and maintain school office methods and operations.
5. Prepare and distribute correspondence, reports, schedules, and bulletins.
6. Organize, requisition, and maintain student and office supplies.
7. Process Lawson purchase orders and stock requisitions on computer.
8. Prepare and maintain accounting records of monies received, deposited, transferred, and disbursed (subject to audit).
9. Prepare weekly payroll.
10. Print reports and verify jobs in AESOP System.
11. Maintain student records in Infinite Campus.
12. Answer incoming phone calls for school and/or elementary school principal.
Education/Training:
High school graduate or equivalent plus records management and communication skills; bookkeeping or accounting skills; computer skills, including but not limited to Word, Excel, and Infinite Campus training is required. Google Mail and Lawson Systems knowledge is helpful.
Current financial system is Lawson and developing an expertise of the current financial system will be required after placement into the position.
Experience:
Five (5) or more years working as a secretary in a school setting.
Knowledge, Skills, & Abilities:
1. Must have good verbal and written communication.
2. Ability to work well with interruptions and maintain a professional attitude.
3. Maintain a professional appearance.
4. Excellent interpersonal skills.
5. Ability to work independently and accurately with a minimum of supervision.
6. Ability to make quick and responsible decisions in the absence of the principal following Racine Unified School District policies and procedures.
7. Able to use various office equipment including computerized equipment.
8. Must be flexible and adaptable to meet the constantly changing demands of an elementary school office setting.
9. Must be willing and able to keep abreast of the latest technology as required in this position (e.g. Word and Excel).
10. Must have excellent attendance.
11. Must have good evaluations.
WORKING CONDITIONS
Pleasant; however, may be interrupted to attend to student, staff, and visitor needs. May have to attend to students who have been referred to the office.
