Duties

  • Greet visitors, clients, and vendors with enthusiasm and professionalism at the front desk
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with precision
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office and Google Workspace applications with high accuracy
  • Assist with calendar management, scheduling meetings, appointments, and coordinating events efficiently
  • Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and basic financial recordkeeping
  • Provide customer support by addressing inquiries promptly and professionally
  • Conduct proofreading of documents to ensure clarity and correctness before distribution
  • Support office management tasks such as ordering supplies, maintaining equipment, and organizing office space

Requirements

  • Proven experience in an office environment with strong clerical and administrative skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills combined with attention to detail for accurate data entry and proofreading
  • Bilingual abilities are a plus to assist diverse clients and team members
  • Experience managing multi-line phone systems and demonstrating excellent phone etiquette
  • Knowledge of office management procedures including filing systems, calendar management, and supply ordering
  • Personal assistant or administrative support experience is advantageous
  • Demonstrated time management skills to handle multiple responsibilities efficiently
  • Computer literacy across various platforms with a quick learning curve for new tools
