We are seeking an energetic and highly organized Secretary / Office Manager to join our dynamic team. Responsibilities

  • Manage front desk operations, greeting visitors and directing calls with professionalism and warmth
  • Operate multi-line phone systems, handle inquiries, and transfer calls efficiently using proper phone etiquette
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Oversee calendar management for executives or team members, scheduling appointments and meetings accurately
  • Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks and bookkeeping
  • Provide exceptional customer service by supporting clients, vendors, and internal staff with courteous assistance
  • Perform clerical duties including photocopying, faxing, mailing, and managing office supplies to ensure a well-stocked workspace

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
  • Previous office experience demonstrating organizational skills and the ability to multitask effectively
  • Excellent phone etiquette with experience managing multi-line phone systems and providing customer support
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of office management practices including filing systems, calendar management, and administrative procedures
  • Experience in medical or dental receptionist roles is a plus, along with personal assistant responsibilities
  • Ability to proofread documents carefully while maintaining high accuracy standards
