Responsibilities
- Greet visitors and clients warmly, providing excellent customer service
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain organized records
- Handle incoming and outgoing correspondence, including emails and mail
- Use QuickBooks for basic bookkeeping and invoicing tasks
- Support office management duties such as supply ordering and maintaining office cleanliness
- Proofread documents for accuracy and professionalism
- Assist with administrative support tasks including typing, document preparation, and proofreading
- Provide support for medical or dental receptionist duties if applicable
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills
- Ability to handle multiple responsibilities simultaneously in a fast-paced environment
- Bilingual language skills are preferred to assist a diverse clientele
- Experience with QuickBooks or bookkeeping is a plus
- Previous experience as a front desk or medical/dental receptionist is advantageous
- Strong organizational skills with attention to detail and proofreading abilities
