Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Answer and direct multi-line phone calls using professional phone etiquette
- Manage appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and document proofreading to maintain accurate records
- Handle incoming and outgoing correspondence via email and postal mail
- Assist with office management tasks including supply inventory and organization
- Support customer service efforts by addressing inquiries promptly and professionally
- Utilize QuickBooks or bookkeeping software for basic financial record keeping (if applicable)
- Maintain a clean and organized front desk area to promote a welcoming environment
- Support administrative tasks such as typing reports, managing calendars, and supporting personal assistant duties as needed
Qualifications
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer skills including proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and excellent phone etiquette
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience with QuickBooks or bookkeeping is desirable but not mandatory
