Medical Operations Assistant
We are seeking a highly organized, proactive Medical Operations Assistant to support daily operations within a concierge internal medicine practice. The Operation Assistant works closely with the Practice Administrator and team to support front office operations, patient membership coordination, marketing, vendor management, billing support, and compliance activities.

Medical Operations Assistant Responsibilities
- Support daily front office operations to ensure smooth scheduling and a high-quality patient experience.
- Coordinate patient membership onboarding, renewals, and communication.
- Assist with billing tasks including charge review, payment reconciliation, and A/R cleanup.
- Support financial processes including deposit verification and expense tracking.
- Manage vendor relationships, supply ordering, and facility maintenance coordination.
- Liaise with IT vendors to coordinate technical support and system troubleshooting.
- Support marketing initiatives and maintain website and blog updates.
- Organize compliance trainings (HIPAA, OSHA, KnowBe4) and monthly departmental meetings.
- Assist with credentialing tasks including CAQH, DEA renewals, and license updates.
- Help develop and refine operational procedures to improve efficiency.
Qualifications
- Experience in medical office operations, healthcare administration, or a similar role preferred.
- Strong organizational and multitasking skills.
- Excellent communication skills, written and verbal.
- Ability to collaborate effectively with administrative, clinical, and vendor teams.
- Proficiency with office technology (Excel) , scheduling systems, and EMR platforms (experience preferred, not required).
- Self-starter with strong problem-solving and follow-through abilities.
