#### Position Description

  • LOCATION:**Queen Anne's County, Maryland

**JOB SUMMARY**

The salary for this position is the minimum of the range.Performs intermediate to high level office support and technical work while maintaining confidentiality in support of the activities of the department with minimal supervision.Duties may include training, social media maintenance, financial analysis, payroll, assisting with reports, and grant support.

**ESSENTIAL FUNCTIONS**

Provides cordial, responsive, and accurate customer service.

Performs intermediate to high level administrative and technical work in support of the activities of the department.

Works under the direction of the Department Director or other management staff with minimal supervision.

Provides substantial knowledge of practices and procedures in assigned area.

Organizes own work and may prioritize work for other staff.

Monitors departmental budget(s) and tracks expenditures.

Prepares and maintains department accounting records, spreadsheets, purchase orders, accounts receivable, etc.Processes accounts payable invoices.

Maintains employee leave schedules and assists with time sheet preparation for payroll.

May train other staff as assigned.

Uses independent judgment in preparation of reports and documents and in problem resolution.

Greets and screens calls and visitors and provides technical information to employees and visitors.

Assists with department-wide projects.

Maintains organization of departmental files and records.

Coordinates activities with other agencies and departments.

May assist with organizing department meetings.

Performs high level computer skills, including data entry, word processing, spreadsheets, desktop publishing, social media, scanner, e-mail, and internet use.

Ability to maintain cooperative relationships with those contacted in the course of work.Ability to work as a member of a team.Ability to work independently and complete own work while training others.Good written and verbal communication skills.Strong organizational skills.Thorough knowledge of relevantcomputer applications.Ability to read and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.Ability to write reports, business correspondence and procedure manuals using proper grammar, spelling, and punctuation.Ability to calculate figures and amounts such as discounts, interest rates, commissions, and proportions.Ability to apply concepts of algebra and geometry.Knowledge of accounting procedures.

NIMS TRAINING

Required

The following National Incident Management System (NIMS) Training is required with in the first year of employment for the Department of Emergency Services and Office of the Sheriff:

**CERTIFICATES, LICENSES, REGISTRATIONS**

Possession of a Class C Maryland Motor Vehicle Operators License (or the equivalent from another issuing state) or the ability to obtain such a license within thirty (30) days of employment to position.

**EDUCATION AND EXPERIENCE**

High school diploma or GED, Associates Degree, and four (4) years of related experience

ORHigh school diploma or GED and six (6) years of related experience required.

Internal promotional consideration:Minimum of 2 years as Administrative Assistant III (Additional consideration may be given for significantly related prior experience at the discretion of the Department Director with approval from the Director of Human Resources.)

In addition to these requirements, the following must also be achieved for internal promotions:

  • Minimum of two years of performance evaluations with a score of 1.68 or higher
  • No Employee Action Reports for a two-year period of written warning or higher
  • Consistently demonstrates good attendance through reporting to ork on time and working as scheduled; is flexible in changing work schedule if needed and is a good steward of leave time.
  • Concurrence of promotion from supervisor
  • Demonstration of progressive advancement in level of work duties and responsibilities

**PHYSICAL DEMANDS**

Typically sits at a desk or computer table.Occasionally walks, stands, or stoops.Occasionally lifts, carries, pushes, pulls, or otherwise moves objects weighing up to 25 lbs.Uses office equipment requiring average degree of dexterity.Concentration to detail is required.Multitasking is required.

**WORK ENVIRONMENT**

Work is performed in an office-like setting in an environmentally controlled area.Noise level is usually moderate.

**COMMENTS**

Employees must conform to applicable policies and safety rules.

This position is one within Queen Annes County Civil Service System. An employee must serve a period of twelve months probation during which he or she may be terminated without notice, cause, hearing or right of appeal.

This position has been designated as an ESSENTIAL POSITION and may be required to report to or remain on duty when County offices are closed due to inclement weather or for other reasons.

An employee in this position may be required to work shift work, overtime, weekends, and holiday and/or remain on standby for a call back to work.
