Position Overview
We are seeking a detail-oriented and organized Administrative Accounting Specialist to support the financial and administrative operations of several small to mid-sized homeowner associations. Key Responsibilities
- Process and track financial transactions, including accounts payable, receivable, and homeowner assessments.
- Prepare and maintain accurate budgets, financial reports, and reserve studies in collaboration with the Community Association Manager.
- Reconcile bank statements and ensure compliance with association financial policies and procedures.
- Assist in preparing agendas, meeting minutes, and other documentation for board meetings.
- Respond to homeowner inquiries related to billing and financial matters with professionalism.
- Coordinate with vendors and contractors for payment processing and record-keeping.
- Maintain organized records and ensure compliance with Hawaii state laws and association governing documents.
Qualifications
- Prior experience in accounting, bookkeeping, or administrative roles (property management or HOA experience preferred).
- Strong proficiency in Microsoft Office (Excel, Word) and accounting/property management software (e.g., Enumerate, Appfolio, quickbooks or similar).
- Excellent organizational and time-management skills with attention to detail.
- Familiarity with Hawaii state laws governing community associations is a plus.
- Ability to handle sensitive financial information with confidentiality and integrity.
- Strong communication skills for interacting with homeowners, board members, and vendors.
- Associate’s or Bachelor’s degree in accounting, finance, or a related field is preferred but not required.
